Executive Assistant Role: To control and manage administrative and other assigned functions for the President and Executive Team making it possible for the group to focus on other matters associated with directing the Credit Union. Major Duties and Responsibilities: Provides confidential administrative support to the President and Executive Team. Composes letters and memoranda, verbal direction or from knowledge of organization policy or procedures; edits written communications from word processing documents. Coordinates meetings and makes travel and lodging arrangements for the president and others within the credit union. Prepares or assists in the preparation of assigned reports. Maintains the Executive Team's daily appointment calendar; makes travel and lodging arrangements as required. Collects and prepares information for the president's use in discussions and meetings with other credit union managers, employees and outside individuals. Screens incoming mail, publications, and other correspondence. Assists the president in aspects related to the Board of Directors and Committee meetings. Must comply with all company policies and procedures, applicable laws, and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Knowledge and Skills: Experience:Five years to ten years of similar or related experience. Education/Certifications/Licenses:(1) A two year college degree or (2) Completion of a specialized course of study at a business or trade school or (3) Completion of a specialized and extensive in‑house training or apprenticeship program. Interpersonal Skills: Work involves extensive personal contact with members of the Board of Directors, community leaders, business leaders, and internal managers. Motivating others or getting them to do things that they might not do otherwise is a key to success for incumbents in this position. External contacts are vital, not only for the success of the position, but the success of the company overall. Other Skills: Proficient with Microsoft Excel, Word, PowerPoint and Outlook. Ability to prioritize multiple, and sometimes, conflicting tasks. Excellent organizational and editing skills; typing skills utilizing Word at or above the 75 percentiles in speed and 90th percentile in accuracy; proficient with spreadsheets. ADA RequirementsPhysical Requirements: Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing or descending stairs in an emergency. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on a computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable, and timely attendance. Ability to read, analyze, and interpret business periodicals, professional journals, government regulations, general financial reports, and compliance documents.Working Conditions: Must be able to routinely perform work indoors in a climate-controlled shared work area with minimal noise. Mental and/or Emotional Requirements: Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising the highest level of discretion on both internal and external confidential matters. Ability to focus on detail and verify accuracy of numbers and text. Ability to read, analyze, and interpret business periodicals, professional journals, government regulations, general financial reports, and compliance documents.
