About The Position

Stoke is seeking a highly motivated and experienced Executive Assistant to join a company pioneering genetic disease treatments. This is a pivotal executive support role for someone who brings composure, precision, and a genuine commitment to enabling leadership excellence at the highest level. The successful candidate will provide direct support to the Chief Patient Officer, and SVP, Head of Global Medical Affairs.

Requirements

  • Bachelor's degree required with a minimum of 8+ years relevant experience.
  • Extensive experience managing executive travel.
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel.
  • Detail oriented, flexible and comfortable working in a fast-paced office environment.
  • Exceptional verbal and written communication skills.
  • Superior organizational skills and dedication to completing projects with quality and in a timely manner.
  • Must be a solution-oriented team player.
  • Must possess forward thinking skills, problem solving, creativity and critical thinking skills.
  • Ability to maintain high level discretion and confidentiality.

Nice To Haves

  • Experience working in a Biotech environment preferred.
  • Prior experience working with field teams preferred.

Responsibilities

  • Provide proactive, comprehensive, and confidential administrative support to the heads of the Commercial and Medical Affairs organizations and their teams, ensuring seamless coordination across calendars, meetings, and business priorities.
  • Partner with the executives' direct teams as needed to facilitate communication, scheduling, and information flow—providing occasional administrative support to ensure alignment and efficiency across functions.
  • Manage complex domestic and international travel logistics, including itineraries, accommodations, and expense reconciliation.
  • Find cost effective solutions while maintaining high standards for travel and events for the entire team
  • Plan offsite activities by assisting in agenda creation, coordinating internal and external speakers, and partnering with IT for technical event needs
  • Manage travel, expenses, meeting planning and invoicing for team events
  • Coordinate and support complex meetings with internal stakeholders and Key Opinion Leaders, investors, and other external parties.
  • Prepare and organize meeting materials, including agendas, presentations, and follow-up documentation for internal and external stakeholders
  • Arrange or set-up AV for hybrid, remote, or in-person meetings and trouble-shoot basic AV technology issues for conference calls and interface with IT and conference services for advanced matters.
  • Process and reconcile expense reports promptly and accurately.
  • Serve as a liaison and travel coordinator for departmental visitors.
  • Create, manage and track purchase orders as requested.
  • Provide cross-coverage and proactive collaboration within the administrative team.
  • Assist the administrative team on company-wide projects as requested.
  • Handle additional special projects as assigned.
