Job Title: Executive Assistant Location: Herndon, VA Overview: We are seeking a proactive, enthusiastic, and highly organized Executive Assistant – Level 1 to join our team. This role provides foundational support to the Senior Executive Assistant and collaborates closely with the broader EA team. The ideal candidate brings a positive attitude, strong initiative, and a willingness to jump in wherever needed to help the team operate smoothly. This position is in‑office at least four days per week, as direct coordination, collaboration, and executive support require a strong on‑site presence.

Requirements

  • High school diploma or equivalent.
  • 1–2 years of administrative, reception, or support experience.
  • Strong proficiency with Microsoft Outlook, Teams, Word, and Excel.
  • Excellent communication, time management, and organizational skills.
  • Ability to work onsite at least 3-5 days per week.
  • Reliable, collaborative, and adaptable with strong attention to detail.

  • Experience supporting multiple leaders simultaneously.
  • Prior exposure to calendar and travel coordination.
  • A self‑starter approach with a passion for supporting a high‑performing team.

Responsibilities

  • Provide day‑to‑day administrative support to the Senior EA and leadership team.
  • Maintain organized systems, prepare documents, and handle correspondence.
  • Support and collaborate across the EA team — stepping in to assist with coordination, coverage, or tasks as needed.
  • Assist with visitor support, office logistics, and general operational tasks.
  • Manage and prioritize complex calendars for multiple leaders, including several Vice Presidents.
  • Coordinate meetings, manage shifting schedules, resolve conflicts, and ensure executives are prepared for upcoming commitments.
  • Handle scheduling across time zones and with external partners.
  • Arrange domestic and international travel for several Vice Presidents and assigned leaders.
  • Build comprehensive itineraries, manage logistics, and support last‑minute changes.
  • Prepare, submit, and reconcile travel and expense reports accurately and within policy.
  • Process and track expense reports for multiple VPs and designated leaders.
  • Reconcile receipts, ensure policy compliance, and follow up on outstanding items.
  • Assist with meeting setup, materials, agendas, and action‑item tracking.
  • Coordinate small‑scale events, team activities, and onsite workflows.
  • Manage conference room bookings and associated logistics.
