About The Position

The Executive Assistant provides high-level administrative and organizational support to the Executive Pastor serving as a key counterpart to existing administrative staff based on complementary skill sets. This role is essential to ensuring smooth day-to-day operations by managing calendars, communications, records, and logistics with precision, discretion, and foresight. The ideal candidate is proactive, detail-oriented, and able to anticipate ministry needs in a fast-paced, growing church environment. As the church continues to expand, this role helps reduce leadership workload, improve operational efficiency, and ensure meetings, events, and communications are executed with excellence and professionalism. Northwest Gospel Church Summary Northwest Gospel Church is currently made up of five local churches in Clark County, Washington (Portland, Oregon metro area). These five churches are interdependent, locally led, and missionally linked. Being interdependent, each church relies on the others in multiple areas of ministry and operations. Being locally led, each church is a representation of the local community where it meets. And being missionally linked, we plan to train church planters, and planting Gospel-centered churches in the Portland metro area and beyond. As a church staff, we see Ephesians 4 as our primary job description, "to equip the saints for the work of ministry, for building up the body of Christ." As leaders within NGC, we are not primarily "doers" of ministry, but "equippers" of ministry. You should see this play out in every Ministerial and Pastoral role within NGC.

  • Google Workspace proficiency (Docs, Sheets—including formulas and pivots—Slides, and calendar/email management).
  • Accurate data entry and basic reporting (CRMs, spreadsheets, simple charts or dashboards).
  • Proficiency with communication tools (Zoom/Teams setup, Slack, professional email and meeting etiquette).
  • Proactivity and problem-solving ability (anticipates needs, resolves issues quickly).

Responsibilities

  • Managing calendars: scheduling appointments, meetings, conferences, and travel arrangements while avoiding conflicts.
  • Organizing and maintaining files, records, databases, and contact lists
  • Preparing, editing, and distributing correspondence such as emails, memos, reports, invoices, letters, and presentations.
  • Planning and coordinating meetings: booking rooms/Zoom links, preparing agendas, taking minutes, and following up on action items.
  • Performing data entry, basic bookkeeping tasks (expense reports, invoicing), and document preparation (scanning, copying, filing).
