This role requires exceptional discretion, judgment, and professionalism, as well as the ability to manage complex, confidential information. The Executive Assistant serves as a trusted partner, ensuring business, financial, and logistical affairs are managed seamlessly and efficiently.

Requirements

  • 3+ years of experience in executive administration, executive assistant, or similar senior-level support role
  • Demonstrated experience supporting C-suite executives, board members, or principals in a confidential environment
  • Exceptional organizational, time management, and problem-solving skills
  • High level of discretion, integrity, and professional judgment
  • Executive presence and professionalism
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities with minimal supervision
  • Attention to detail with a high standard of accuracy
  • Proficiency in Microsoft Office and related business systems
  • Comfort working independently and making judgment-based decisions

Responsibilities

  • Provide comprehensive administrative support, including calendar management, meeting coordination, travel arrangements, and correspondence
  • Manage sensitive and confidential information with the highest level of integrity
  • Anticipate needs and proactively address issues before they arise
  • Assist in planning business, personal & community events
  • Personal errands as needed
  • Assist as needed outside regular business hours
  • Support tax-related activities
  • Assist with financial recordkeeping, expense tracking, and reconciliation as required
  • Maintain organized financial and legal files, ensuring accuracy and compliance
  • Manage personal checking account: coordinate and pay bills, taxes and insurance
  • Plan and coordinate shareholder events, including meetings, retreats, and special functions
  • Manage vendor relationships, contracts, budgets, and event logistics from planning through execution
  • Ensure events reflect the professionalism and standards of the organization
  • Assist with community related projects
