We are looking for a motivated Executive Assistant to provide administrative support to our Vice President of Product Marketing.

Requirements

  • BA/BS degree preferred OR 10+ years of administrative experience OR equivalent practical experience.
  • 10+ years in administrative experience including 4+ years in supporting executive leadership
  • Understanding of business priorities and workstreams to aid in optimal decision-making
  • Demonstrate excellent attention to detail while working effectively with minimal direction
  • Positive, proactive, and can-do attitude in a fast-paced, ever-changing global environment
  • Takes initiative, regularly identifies process improvements and ways to streamline complex efforts
  • Exceptional ability to prioritize conflicting demands and meet deadlines with little direction
  • Strong organizational skills, attention to detail, business acumen and timely follow-through
  • Excellent written and interpersonal communication skills
  • Handles confidential information with integrity and exercises discretion
  • Confidence and strong decision-making skills
  • Technical proficiency with productivity applications from Adobe, Microsoft, Slack and others
  • Eagerness to build a network with other executive assistants at Adobe and cooperate as a team
  • Ability to travel occasionally to provide support at events/conferences

Responsibilities

  • Extensive scheduling, calendar coordination and manage complex, cross-geo multi-time-zone and changing calendars, working through scheduling roadblocks while optimizing for the needs and priorities of the business.
  • General travel arrangements, domestic & international
  • Filter and manage requests for internal & external commitments
  • In collaboration with Chief of Staff,/Biz Ops Lead to coordinate special projects including: Offsites, team building activities, and all-staff meetings
  • Identify opportunities to streamline efforts and improve processes (eg, budget coordination, hiring)
  • Submit and maintain expense reports
  • Attend staff meetings and capture key outcomes and actions
  • Regularly collaborate with cross-functional Administrative & Executive Assistants and provide back up for vacation/illness
