About the Role We are seeking a highly experienced Executive Assistant to support the Chief Advertising Officer, North America (CAO) in a fast-paced, high-demand environment. This role is first and foremost about senior-level executive support — managing complex schedules, anticipating needs, handling sensitive information, and keeping the CAO and Revenue leadership team operating smoothly and efficiently In addition to core executive assistant responsibilities, this role provides light coordination and operational support across the Revenue organization (Sales and Marketing), including meeting preparation, documentation, and follow-up. This is an ideal role for someone who thrives in a dynamic environment, brings strong judgment and discretion, and is comfortable supporting senior leadership with minimal direction.

Requirements

  • 5+ years of experience providing executive-level administrative support in a high-demand, fast-paced environment.
  • Proven experience supporting senior leaders with complex schedules and competing priorities.
  • Exceptional organizational skills and attention to detail.
  • Strong judgment, discretion, and ability to handle sensitive information.
  • Ability to work independently, anticipate needs, and problem-solve.
  • Excellent written and verbal communication skills.
  • Proficiency with Google Workspace and Excel/Sheets.

Nice To Haves

  • Experience in a media, advertising, or revenue-driven organization.
  • Experience supporting Sales and/or Marketing leadership.
  • Familiarity with CRM tools such as Salesforce.
  • Strong experience managing purchase orders and finance workflows.

Responsibilities

  • Provide high-level, proactive executive support to the CAO in a demanding environment.
  • Manage complex calendaring, scheduling, and prioritization across internal and external commitments.
  • Anticipate needs, prepare materials in advance, and ensure the CAO is fully briefed for meetings.
  • Prepare agendas, notes, follow-ups, and action items for key meetings.
  • Handle sensitive and confidential information with discretion and sound judgment.
  • Coordinate travel, logistics, and expenses as needed.
  • Support day-to-day administrative and coordination needs for the Revenue leadership team.
  • Maintain and organize revenue-related documents, presentations, and planning materials.
  • Track action items, deadlines, and follow-ups coming out of Revenue meetings.
  • Assist with basic reporting, dashboards, and information requests in partnership with Finance and Sales Ops.
  • Own the creation, processing, and tracking of purchase orders (POs).
  • Partner closely with Finance on approvals, vendor setup, reconciliation, and follow-ups.
  • Ensure accuracy and timeliness in all finance-related administrative tasks.
