About The Position

The Executive Assistant to the Director of Evangelism and Evangelism department provides high-level administrative support, exercising independent judgment to coordinate and manage departmental operations and ministry special projects. This role involves handling confidential matters, including overseeing It Is Written volunteer activities and monitoring volunteer eligibility status. The Executive Assistant supports the mission and values of It Is Written by exemplifying the values and beliefs of the Seventh-day Adventist Church in all interactions.

Requirements

  • High school diploma, or equivalent, is required.
  • Five (5) years of relevant experience in a professional office setting.
  • Embrace the mission and values of It Is Written and be a member in good standing of the Seventh-day Adventist Church
  • Proficient in Microsoft Office Suite and/or Google Suite.
  • Possess and understanding of, and a passion for, public evangelism.
  • Ability to take direction, exercise independent judgment, make independent decisions, assume responsibilities, and perform work with appropriate tact and discretion.
  • Exhibit attention to detail and a commitment to excellence in tasks and duties.
  • Must have good personal relationship skills.
  • Exhibit excellent written and verbal communication skills.
  • Possess public relations skills in representing It Is Written due to extensive interaction with the public and other Church entities.
  • Display a positive attitude, show concern for people, demonstrate presence, self-confidence, common sense, and good listening ability.
  • Needs to be a self-starter who can demonstrate flexibility and good judgment while being a team player.
  • Be organized and exhibit follow through on tasks and goals.
  • Able to exhibit Christ-like behavior in daily tasks, collaborative projects, and under stress.

Nice To Haves

  • Bachelor's degree in related field is preferred.
  • Denominational service within the Seventh-day Adventist Church, preferred.
  • Experience in front-line evangelism or in-depth knowledge thereof, preferred.

Responsibilities

  • Represents the Evangelism department and Director of Evangelism in communications, including but not limited to: Handling necessary telephone calls, emails, and mail, answering and routing inquiries to the proper channels.
  • Establishing and maintaining appropriate files and records.
  • Receiving and managing all business mail for the Director.
  • Checking for accuracy in correspondence and other materials.
  • Exercises discretion in managing the Director’s appointments, speaking requests, travel arrangements, phone calls, and emails.
  • Maintains and keeps current department calendars and appointments.
  • Handles necessary correspondence and minutes for Evangelism department committees.
  • Coordinates and plans the initial setup and coordination of It Is Written mission trips, including but not limited to: Collaborating with inviting locations to establish logistics such as meals, housing, transportation, and other necessary components.
  • Processing participant registrations
  • Maintaining communication with participants and assisting them with their needs and/or questions.
  • This may, at times, require travel to various locations to oversee planning, setup and logistics for events.
  • Coordinates and plans Evangelism department speaking engagements and evangelistic campaigns as part of the Evangelism strategic plan, including ordering supplies, booking venues, securing advertising contracts, creating timelines and deadlines, overseeing details with Church Conference leaders, and coordinating with other departments. This may, at times, require travel to various locations to oversee planning, setup and logistics for events.
  • Manages scheduling of booths or other event needs for Evangelism seminars.
  • Oversees evangelism schedules for field evangelists and facilitates contracts and logistics related to bookings, including calling Church Conferences to solicit appointments.
  • Represents It Is Written and the Evangelism department in professional communication with Church Divisions, Unions, Conferences, local church entities, and other partnering ministries.
  • Coordinates, schedules, and supervises the routine volunteer activities and events for It Is Written.
  • Oversees the coordination of volunteer activities with other departments to ensure projects are completed timely and accurately for stakeholders.
  • Plans, coordinates, and manages any annual volunteer social functions.
  • Fills in and assists with other administrative duties for It Is Written, as needed.
  • Fulfills other related responsibilities and duties as assigned.
