If that sounds good to you, then we should meet. We are currently searching for an outgoing, caring person to join our team as a Full-Time Executive Administrative Assistant. The Executive Administrative Assistant will provide a wide range of administrative and secretarial support to Executive Management. This position will provide reliable, proactive and executive-level support while covering a variety of different task and duties. The job functions are: Set up meetings, conferences, and conference calls. Daily scheduling and coordinating of calendar/travel arrangements. Proactively monitor schedules to identify and resolve conflicts and inefficiencies. Screen incoming telephone calls and prioritize mail. Act as key liaison between staff and Executive Management. Handle sensitive and confidential information. Prepare memos and other written correspondence utilizing various computer applications. Provide timely, accurate information and documentation for meetings and presentations. Attend meetings and distribute minutes. Provide back up support for other team members. Assist with filing and organization of information. Ensure compliance with banking policies, lending practices and regulatory process statutes. Comply with all federal, state and local regulatory rules and regulations governing financial institutions, as well as all company policies and procedures. Complete and pass all required regulatory compliance training as assigned. Undertake special projects as determined by Executive Management.

Requirements

  • High School Diploma or equivalent required.
  • Five + years administrative experience providing executive level administrative support.
  • Exceptional interpersonal relationship and communication skills.
  • Superior time management skills and efficient organizational skills.
  • Ability to prioritize and manage multiple tasks simultaneously.
  • Strong writing, editing, proofreading and spelling skills.
  • Expert knowledge in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).
  • Ability to learn new technology as needed.
  • Demonstrate professionalism in speech, demeanor and dress.
  • Handle sensitive information with the highest degree of integrity and confidentiality.
  • Required Work Schedule: Monday-Friday from 8am to 5pm.
  • Work Location: Guaranty Bank and Trust in Addison, TX. Must live within 30 minutes (including traffic time) of the location listed below.

  • Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators.
  • Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary.
  • Must be able to work extended hours or travel off site whenever required or requested by management.
  • Must be capable of regular, reliable and timely attendance.
  • Must be capable of climbing / descending stairs in an emergency situation.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.
