The Executive Assistant is responsible for a wide variety of situations and conflicts involving the clerical and administrative function of the office. Responsible for confidential and time sensitive material. Prepares routine and advanced correspondence including letters, memoranda, and reports. May direct and lead the work of others.

Requirements

  • High School Diploma or GED required
  • 3 years related experience
  • Must have strong computer skills
  • Must be organized, detail oriented and a self starter
  • Must have excellent record keeping skills

Nice To Haves

  • Bachelor’s degree preferred
  • Ability to edit and work with PowerPoint software for presentations, preferred.

Responsibilities

  • Performs word processing, accurately and efficiently typing memos, minutes, forms and other miscellaneous items from dictation, written instructions or own initiative.
  • Must be able to handle administrative duties with discretion and protect operations by keeping information confidential.
  • Takes minutes and composes correspondence when applicable on own initiative and as requested.
  • All materials, correspondence and presentations are typed and distributed in the proper format and in a timely manner.
  • Personal judgment is used to set priorities for all assignments and projects to be completed within the negotiated timeframe
  • Keeps interruptions of the leader to a minimum.
  • Makes an effort to handle requests or problems, discerns which requests another resource/person might best handle.
  • Makes suggestions and utilizes creative thinking and acquired knowledge to assist in assessing situations and improving administrative action or decision making.
  • May be involved with preparing budget reports, manuals, policy and procedure documents, etc.
  • Manages calendar of the leader, scheduling appointments and meetings as appropriate.
  • Good judgment is used pertaining to timeframes required, necessary participants and meeting details such as notification of time, date and location.
  • All appointments are brought to the attention of the leader.
  • Maintains and organizes pertinent information for meetings and brings them to the attention of the leader just prior to the meeting.
