About The Position

A rapidly expanding, privately held organization with multiple business ventures is seeking a seasoned Executive Assistant to provide high-level administrative and operational support to the CEO and executive leadership team. This individual will act as a trusted partner and right hand to the CEO—anticipating needs, maintaining alignment across priorities, and ensuring that leadership is consistently positioned for success. The ideal candidate thrives in a fast-paced, entrepreneurial environment , brings strong organizational discipline and discretion, and enjoys managing both day-to-day details and big-picture initiatives.

Requirements

  • 7+ years of experience supporting senior executives (CEO, President, or Founder) in a dynamic, fast-moving organization—preferably in a growth-stage or entrepreneurial setting.
  • Exceptional organizational, time-management, and prioritization skills with an ability to manage multiple competing priorities.
  • Strong written and verbal communication abilities with a focus on clarity, follow-through, and professionalism.
  • High degree of integrity, discretion, and judgment when handling confidential information.
  • Proactive and resourceful problem solver who can work independently with minimal oversight.
  • Skilled in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, Teams) and adept at managing complex scheduling and virtual collaboration tools.
  • Bachelor’s degree preferred or equivalent professional experience.

Responsibilities

  • Manage complex calendars, coordinate meetings, and ensure the CEO and leadership team are fully prepared for all engagements.
  • Serve as a first point of contact for internal and external inquiries, exercising sound judgment and professionalism in every interaction.
  • Draft and edit correspondence, presentations, and communications on behalf of executives while maintaining confidentiality at all times.
  • Lead and support cross-functional initiatives and ad-hoc projects, ensuring timely execution and alignment with company goals.
  • Track and manage key priorities, follow-ups, and deliverables to keep initiatives moving forward.
  • Plan and coordinate internal and client-facing events, team meetings, and off-sites, handling logistics and communications from start to finish.
  • Maintain an organized and efficient office environment, overseeing budgets, vendor relationships, and office supply management.
  • Support onboarding processes for new employees and maintain up-to-date personnel and HR-related documentation.
  • Anticipate operational needs and proactively identify opportunities to improve processes and systems.
