About The Position

Bonnie Brae, residential treatment facility and approved private school serving youth, is seeking a Full Time, Executive Assistant to provide high-level administrative and clerical support to the Chief Executive Officer and Board of Trustees, ensuring efficient operations and effective communication across the organization. This position requires strong organizational skills, discretion and the ability to manage multiple priorities while handling sensitive and confidential information. Responsibilities include scheduling, correspondence, contract coordination and completion, recordkeeping, meeting coordination and the implementation of administrative policies and procedures. Essential Duties and Responsibilities: The following are the primary duties and responsibilities of this position. Additional duties may be assigned as necessary:

Requirements

  • High School Diploma or GED required; Bachelor's Degree preferred.
  • Minimum of three (3) years of administrative experience, preferably supporting executive leadership.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook) and Microsoft Teams required.
  • Excellent oral and written communication skills.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to maintain a professionalism in person, by phone and in written communication.

Responsibilities

  • Prepare meeting agendas, record minutes and distribute materials for Leadership Team and Board meetings.
  • Maintain corporate records, legal documents, contracts and the official corporate seal, ensuring compliance with regulatory and governance requirements.
  • Draft, edit and format correspondence, reports, and presentations for the CEO and the Board of Trustees.
  • Serve as a liaison for visitors and external stakeholders, ensuring professional communication and strict confidentiality.
  • Provide administrative support to the Board of Trustees, including coordinating meetings, preparing mailings, and maintaining Board records.
  • Manage conference room schedules and support meeting and event logistics.
  • Perform purchasing and administrative functions, including ordering supplies and preparing purchase orders.
  • Serve as a resource for backup administrative resource for Accounting, Development and other departments as needed.
  • Manage schedules, travel arrangements, and appointments for the CEO.
