About The Position

ExecuPOWER is seeking a highly skilled and trusted Executive Assistant to provide high-level administrative, operational, and strategic support to our Vice President of Engineering. This role is critical to enabling executive effectiveness by managing priorities, coordinating complex schedules, supporting departmental operations, and creating structure within a fast-paced engineering environment. This position is ideal for a professional who thrives in dynamic settings, operates with discretion, anticipates needs, and brings precision, organization, and calm execution to executive support.

Requirements

  • 5+ years of experience supporting senior leadership (VP-level preferred)
  • High school diploma or GED required; Associate's or Bachelor's degree preferred
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Exceptional organizational and time management skills
  • Strong written and verbal communication
  • Proven ability to work independently and exercise sound judgment
  • High level of discretion, confidentiality, and professionalism
  • Comfortable operating in fast-paced, deadline-driven environments
  • Strong interpersonal and relationship management skills

Responsibilities

  • Manage and maintain the VP's calendar, including scheduling, conflict resolution, and priority management
  • Track action items, deliverables, and follow-ups to ensure accountability and execution
  • Prepare agendas, presentations, reports, and executive briefing materials
  • Serve as a trusted partner handling sensitive and confidential information with professionalism
  • Coordinate internal and external meetings, including logistics, materials, and follow-ups
  • Act as a liaison between the VP, engineering leadership, project teams, and external stakeholders
  • Draft, edit, and manage correspondence, summaries, and internal communications
  • Support engineering department operations, including document management and workflow coordination
  • Assist with tracking budgets, contracts, approvals, and departmental documentation
  • Run reports from internal systems and compile leadership-ready data and summaries
  • Coordinate domestic and international travel arrangements
  • Track, reconcile, and submit expense reports and corporate card statements accurately and on time
  • Support special initiatives, cross-functional projects, and process improvements
  • Conduct preliminary research and compile findings, insights, and recommendations for leadership
