Requirements

  • Proven experience as an Executive Assistant or in a similar administrative role, preferably within a nonprofit or healthcare organization.
  • Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High level of professionalism, attention to detail, and problem-solving skills.
  • Minimum of 5 years of executive level administrative experience, preferably within nonprofit, healthcare, or corporate environments.
  • Exceptional written and verbal communication skills with a polished, professional demeanor.
  • Strong organizational, time management, and multitasking capabilities.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (Teams, Zoom).
  • Demonstrated ability to exercise discretion, judgment, and tact in confidential matters.
  • Self-directed, adaptable, and effective both independently and in collaborative settings.

Responsibilities

  • Manage complex calendars, schedules, and meeting logistics for executive leadership, ensuring optimal time management and prioritization.
  • Coordinate and prepare materials for meetings, including agendas, presentations, and reports.
  • Serve as a point of contact between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Handle correspondence, emails, and phone inquiries on behalf of executives, ensuring timely and appropriate responses.
  • Assist with travel arrangements, itineraries, and expense reporting to support organizational efficiency.
  • Support special projects and initiatives as assigned, contributing to strategic planning and execution.
  • Maintain organized filing systems, records, and documentation to ensure easy retrieval and compliance.
  • Facilitate effective communication across departments and with external partners to promote organizational cohesion.
