We are seeking an exceptional Executive Assistant with robust project management expertise to support our Chief Product Officer (CPO) in managing a diverse range of strategic initiatives and daily operations. The ideal candidate is a proactive problem-solver with exceptional communication skills, keen attention to detail, and a strong ability to manage multiple priorities in a fast-paced environment. This role blends traditional executive assistant responsibilities with a focus on project management, ensuring seamless execution of the CPOs vision and objectives.

Requirements

  • Bachelor's degree in project management, business administration, or related field
  • Proven experience as an executive assistant, preferably with a project management focus.
  • Strong organizational and multitasking skills, with the ability to manage competing priorities effectively.
  • Excellent written and verbal communication skills, including the ability to draft professional correspondence and reports.
  • Proficiency with project management tools, Google Workspace, and systems like Airtable and Asana.
  • High level of discretion and professionalism when handling sensitive information.

Responsibilities

  • Executive Support Manage the CPOs calendar, prioritize and coordinate meetings, and prepare relevant materials.
  • Act as a key point of contact for internal and external communications on behalf of the CPO.
  • Handle correspondence, prepare reports, and oversee day-to-day administrative needs.
  • Project Management Track and manage timelines, deliverables, and outcomes for major projects spanning research and development, product development, IT systems, compliance, and quality control.
  • Collaborate with cross-functional teams to ensure projects align with the companys strategic objectives.
  • Provide regular updates and proactively flag potential issues or delays.
  • Follow up with stakeholders to ensure adherence to project timelines.
  • Strategic Alignment Support the alignment of sales and marketing teams, compliance initiatives, and product lines with overarching company goals.
  • Participate in high-level strategic planning meetings, capturing action items and ensuring follow-through.
  • Conduct research and synthesize information to support informed decision-making.
  • Communication & Coordination Serve as a liaison between the CPO and various departments, fostering clear and effective communication.
  • Communicate with customers and suppliers regarding specific project tasks.
  • Coordinate travel arrangements and facilitate smooth transitions between professional and personal commitments.
  • Ensure preparation for board meetings, team travel, and other leadership activities.
  • Documentation & Organization Maintain organized records, project documentation, and digital files.
  • Develop and refine systems to improve workflow and increase efficiency.
