About The Position

The Project Management Assistant is responsible for assisting the Implementation Consultants in organizing on-going projects to ensure successful completion. Working within the Professional Services team, the Project Management Assistant will develop, monitor and report on project plans, schedules, work hours, budgets, and organize and participate in stakeholder meetings. At times, the Project Management Assistant will manage some aspects of key projects with the opportunity to interact with customers directly. This exciting position is key to the success of our team and will allow many opportunities to learn and grow in the role. This role reports to the Manager of Professional Services.

Requirements

  • Self-starter with the ability to anticipate needs and take initiative.
  • Proficient in Microsoft Office Suite and related software(s).
  • Post-secondary education in a Technology or Business Field preferred
  • 1 to 3 years of experience in a project management role
  • Ability to travel up to 40% of the time (including domestic and international), sometimes for extended periods, which may involve sitting during transit and walking at various locations.
  • Must be able to lift up to 10 pounds at a time.
  • Must be able to handle high utilization of hand and wrist dexterity.

  • Understanding of the North American Transit Industry and Agencies is preferred.

Responsibilities

  • Maintaining and monitoring project plans, project schedules, work hours, budgets, and expenditures using TransTrack’s chosen project management and time-tracking tools.
  • Prepare and distribute project reporting including planned milestone delivery reports, task status reports, project burn rates, utilization and other professional services metrics.
  • Coordinate with internal teams and external stakeholders to support planning and delivery efforts.
  • Assist in preparing and updating project Estimation to Complete including updating resource assignments and task and milestone duration, status, and percent complete.
  • Schedule, facilitate, and document project meetings including weekly status meetings, risk and decision, and daily stand-up meetings.
  • Support accountability by coordinating required stakeholder participation in requirements workshops, development working sessions, and user training sessions.
  • Track time spent on projects using timesheets and coordinate with Finance to support accurate invoicing and revenue recognition.
  • Assist Manager of Professional Services with monthly project variance analysis reporting and delivery revenue forecasting.
  • Manage projects as requested.
  • Undertake project tasks as required.
  • Display proactive willingness to learn and understand software and the mechanics of their implementation and deployment.
  • Develop and maintain project artifacts such as progress reports, proposals, requirements documentation, issue logs, action item registers, and presentations, as required.
  • Contribute to further best practices and tools for project execution and management.
  • Review contracts and work orders to understand project scope and key terms, enabling more effective facilitation of discussions and early identification of risks or roadblocks.
