About The Position

Manage the Vice Chancellor's calendar, schedule meetings, and coordinate travel arrangements. Prepare correspondence, reports, presentations, and other documents with accuracy and attention to detail. Maintain organized filing systems for policies, compliance records, and strategic planning documents. Screen and prioritize incoming communications, ensuring timely responses and follow-up. Assist in tracking progress on strategic planning goals and institutional performance metrics. Support cross-functional projects and initiatives led by the Vice Chancellor. Compile data and prepare summaries for reports to the Chancellor, Cabinet, and external stakeholders. Coordinate logistics for governance meetings, policy reviews, and compliance audits. Serve as the primary point of contact for internal and external inquiries directed to the Vice Chancellor's office. Facilitate communication between the Vice Chancellor and departments such as Human Resources, Legal, and Compliance. Draft and distribute official communications related to policy updates, compliance requirements, and strategic priorities. Organize and support events, workshops, and meetings related to institutional affairs and strategic planning. Prepare agendas, take minutes, and ensure timely dissemination of meeting materials. Provide additional administrative and project support as needed to advance the Vice Chancellor's objectives.

Requirements

  • Bachelor's degree in any field of study
  • Minimum of 3 years of experience providing executive-level administrative support.
  • Strong organizational, communication, and project coordination skills.
  • Experience in compliance, higher education, or a complex organizational environment preferred.
  • Proficiency in Microsoft Office Suite and ability to learn new software systems quickly.
  • Advanced Verbal and written communication skills.
  • Advanced Judgment including sensitivity to personal and confidential information.
  • Advanced Interpersonal and customer service skills.
  • Proficient Microsoft Office Skills (Word, Excel, PowerPoint, and Outlook)

Nice To Haves

  • Master's degree in business administration, public administration, pre-law, law, or related field
  • Proficiency in SmartSheet, Trello, or Monday.com
  • Exceptional attention to detail and ability to manage multiple priorities.
