Summary of Responsibilities The Executive Assistant uses thorough knowledge of company protocols and exercises considerable independent judgment and discretion to handle important and confidential matters for members of the Executive Team and others as described below. Essential Job Functions Provides high-level executive support by anticipating needs, managing complex tasks, and creating systems that enable leadership to focus on advancing strategic priorities. Manages calendars, travel arrangements, and meeting logistics with precision, helping prioritize time and keep key initiatives moving forward. Builds and nurtures strong, collaborative relationships across departments to align efforts and ensure seamless execution. Facilitates EOS (Entrepreneurial Operating System) processes to keep leadership aligned, accountable, and on track toward quarterly and annual goals. Leads preparation and coordination of executive and team meetings, including agendas, materials, and presentations that drive clarity and informed decision-making. Supports marketing and leasing efforts by producing branded collateral, coordinating business development initiatives, and managing promotional items. Oversee the development of high-impact internal events and external-facing experiences that strengthen team culture, reflect our brand, and support growth efforts. Serves as a key point of contact for clients and brokers, ensuring timely, polished communication that deepens external relationships. Develops and prepares business-critical documents, such as RFPs, surveys, market plans, board decks, and internal reports, that support strategic planning and decision-making. Provides project and reporting support, including BD dashboard maintenance, sales and pipeline tracking, and coordinating with external developers to enhance business tools. Collaborates with the Accounting team during budgeting season by developing business development cost projections and managing those decisions alongside appropriate BD partners. Maintains confidentiality and professionalism while handling sensitive materials, correspondence, and conversations. Brings organization and clarity to every detail, whether managing electronic files, reconciling expenses, or troubleshooting technical needs.

Requirements

  • Excellent organizational skills and superior attention to detail
  • Strong oral and written communication skills
  • Excellent computer skills in a Microsoft Windows environment
  • Evidence of the practice of a high level of confidentiality
  • Demonstrated anticipation skills
  • Proven skills in managing multiple calendars
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
  • Ability to perform several tasks concurrently with ease and professionalism
  • Aptitude to analyze data and make reliable decisions
  • Ability to handle calls and visitors with professionalism and a warm and friendly attitude
  • Ability to produce and edit correspondence, spreadsheets, presentations, and databases using Microsoft Outlook, Word, Excel, and PowerPoint, and Adobe Creative Suite
  • Familiarity and experience with general office equipment
  • Normal safety hazards associated with office work, and with occasional observational visits to construction sites.
  • Low physical effort required to sit, stand at files, bend, stoop, lift, and walk.
  • Maximum unassisted lift is 35 lbs.
  • Average lift is less than 10 lbs.
  • Requires the ability to use a keyboard and monitor.
  • Also requires the ability to communicate verbally, both in person and on the telephone.
  • May require some travel by car.
  • Average inside office environment.
  • Average office noise levels.
  • No personal protective equipment is required.
  • Ambient temperature is between 68F and 76F.
