About The Position

The Executive Assistant plays a pivotal role in our organization, serving as a key partner to the President and ensuring smooth operations at the highest level of leadership. Based in our Eagan, MN, office, this position is integral to maintaining the President's efficiency and effectiveness. As a global company operating in numerous time zones, this position will be expected to work outside of the standard business hours as needed (occasional evening meetings and correspondence). The ideal candidate will be highly organized, proactive, and possess excellent communication skills. They should be comfortable working in a fast-paced environment and adept at managing multiple priorities simultaneously. Requirements

  • Requires a High School diploma or equivalent; Bachelor’s degree preferred.
  • Minimum of 10 years of high-level administrative work experience including experience working with C-suite executives and senior leadership.
  • High level computer proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong technical/computer aptitude and willing to learn new programs and become proficient in company programs and software.
  • Strong communication skills, both verbal and written; able to create company communications including emails, letters, etc.
  • Proactive, flexible, and willing to perform a variety of tasks.
  • Strong attention to detail
  • Able to manage deadlines and stressful situations with a high degree of professionalism.

Responsibilities

  • Scheduling and Calendar Management: The Executive Assistant will expertly manage the President's schedule, prioritizing commitments and ensuring optimal time allocation for critical tasks and meetings, resolving schedule conflicts, handle schedule challenges arising from urgent requests and conflicting time zones, and ensuring that meetings are scheduled/rescheduled in a timely manner.
  • Follow-up and Communication: Follow up with the President on all tasks assigned, providing timely updates on progress and issues. Respond to all messages and requests from the executive within 1 hour, during work hours.
  • Travel Coordination: Oversee all aspects of the President's travel arrangements, including bookings, itineraries, and logistics, to ensure seamless business trips. Coordinate and manage domestic and international travel arrangements for executive leadership and assist as needed with other department travel.
  • Expense Reporting: Create expense reports and manage all receipts for the President.
  • Business Acumen: Thoroughly understand the business to anticipate needs and requests and to be able to proactively address challenges before they occur. Acting as a gatekeeper for the President's communications, the Executive Assistant will handle correspondence, emails, and phone calls, prioritizing and responding as appropriate.
  • Handle correspondence and confidential / sensitive information with a variety of internal and external stakeholders
  • Create and maintain a variety of documents including PowerPoint presentations, Excel spreadsheets, Word documents, contracts, etc.
  • Project Support: While primarily focused on assisting the President, this individual will contribute to various executive-level projects, providing administrative support, research, and coordination as needed.
  • Assist with meeting set-up including video and audio conferencing.
  • Assist the CEO’s Senior Executive Assistant and the VP, HR, with various overflow projects or ad-hoc needs.
  • Remain accessible during core office hours to support executive needs
  • Maintain regular attendance and minimize unexpected absences
  • Follow the established time-off request procedure
  • Provide advance notice for planned absences when possible
