About The Position

The Executive Assistant to the Executive Director of the Northampton Community College Foundation provides high-level administrative and operational support to the Executive Director in the advancement of the Foundation’s mission and strategic goals. This position serves as a trusted liaison to the Board of Directors, college leadership, donors, and community stakeholders, exercising the highest level of professionalism, discretion, and confidentiality. The Executive Assistant manages complex scheduling, coordinates communications, and oversees the logistical and fiduciary activities of the Foundation Board of Directors and its committees. This role is responsible for preparing sensitive and confidential materials, maintaining official Foundation records, and ensuring the effective flow of information between the Executive Director, the Board, college leadership, and external partners. Working independently and proactively, the Executive Assistant supports strategic initiatives, manages special projects, and ensures that the Executive Director’s office operates with efficiency, accuracy, and responsiveness.

Requirements

  • Education: Associate Degree preferred.
  • Skills, Knowledge, Abilities: (a) accurate keyboarding skills necessary (b) Proficiency in MS Office software and standard computer systems; (c) knowledge of methods of effective communications; (d) self-expression abilities, both written and verbal; (e) ability to organize projects and handle several projects at the same time; (f) ability to make independent decisions in the absence of the Executive Director; (g) ability to maintain confidentiality.
  • Experience: (a) minimum of three years experience with demonstrated competence to perform the duties involved, preferably in a public oriented position.

Responsibilities

  • Work with the staff assigned: (1) Performing duties which would facilitate office functions either as directed or independently: manage office procedures and work standards and prepare detailed reports, utilize information processing systems as appropriate to the office.
  • (2) Performing duties: prepare agendas for Foundation Board and committee meetings, attend and record proceedings; maintain accurate files and record systems using appropriate follow-up procedures; answer, make and screen telephone calls; handle routine correspondence and inquiries not requiring the Executive Director’s immediate attention; manage calendar coordination and scheduling for Executive Director’s staff meetings, events, and external stakeholder appointments; organize travel planning and logistics for Executive Director; handle all communications and maintain accurate files involving confidential matters related to any staff member reporting to the Executive Director
  • (4) Implementing Special Responsibilities: as assigned by the Executive Director.
  • Responsible to the Executive Director for performance of assigned responsibilities.
  • Ability to relate well to people to ensure that the office is projected in an effective manner in dealing with both internal and external constituencies of the College.
  • Coordinate work within the office and between offices with other staff members.
  • Relate role to College and office goals.
