About The Position

Currently, Aquatech has an immediate need for a fulltime Administrative Assistant to the COO to work in our Canonsburg, PA office. The hours are Monday – Friday 8:00am to 5:00pm. The ideal candidate performs primarily administrative functions involving compiling, scanning and bookmarking, opening/sending daily mail, copying, scanning, faxing, filing, and answering telephone, typing, creating/editing documents, and other administrative/clerical duties as assigned. Job Description: Provide high-level administrative support to executive leadership, including calendar management, travel coordination, and meeting preparation. Manage complex scheduling across multiple time zones and proactively resolve conflicts. Prepare, edit, and manage confidential correspondence, reports, and presentations. Provide day-to-day support to the sales team, assisting with issues Organize and maintain files, records, and contact databases. Manage and coordinate various office tasks and projects to ensure smooth workflow. Track and follow up on key projects, deadlines, and deliverables to ensure alignment with priorities. Handle sensitive information with the highest level of discretion and professionalism. Process expense reports, invoices, and purchase orders accurately and promptly. Support the sales team, in putting together bid proposals, prequalification's, hub spot, etc. Travel arrangements for project and sales support Provide general administrative support to ensure smooth daily sales operations. Provide assistance on special projects, ensuring tasks are completed on schedule. Additional clerical/ Administrative duties as requested Additional duties as assigned.

Requirements

  • General administrative duties: opening/sending daily mail, copying, faxing, filing, and answering the telephone, typing, creating/editing documents and spreadsheets and PowerPoint slides
  • Ability to communicate effectively with customers and maintain a positive attitude and good organizational skills
  • Multi-task administrative duties
  • Ability to apply common sense understanding to carry out instructions
  • Hands on and ability to carry out tasks with minimal monitoring
  • Ability to sit at a desk for extended periods of time
  • Proficiency in Microsoft Office: Specifically, Word and Excel
  • Experience with presentations and report writing.
  • Technical experience
  • Ability to treat items confidentially as and when appropriate.

  • High School Diploma or GED Equivalent
  • One - two year of related experience and/or training, or equivalent combination of education and experience
