About The Position

The Uinta County School District #1 Executive Assistant for the Superintendent will serve as the hub for all activities emanating from the office of the Superintendent. The position will provide diverse and complex support services and is responsible for identifying and managing critical issues requiring immediate attention. The Executive Assistant's roles and responsibilities will relieve the Superintendent of a variety of duties therefore enabling the effective and efficient day to day operations of Uinta County School District #1.

Requirements

  • High School diploma or equivalent
  • Five (5) years of increasingly responsible secretarial or administrative assistant experience.
  • Knowledge of record-keeping techniques
  • Knowledge of office practices and procedures
  • Knowledge of English grammar, spelling and punctuation
  • Knowledge of basic mathematics
  • Knowledge of UCSD#1 policies and procedures
  • Skilled at effective verbal and written communication
  • Skilled in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
  • Skilled in collaboration and decision-making, seeking consensus whenever possible
  • Skilled in conflict resolution
  • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, PowerPoint)
  • Ability to handle behavioral situations in a calm and effective manner
  • Ability to maintain accurate records and write reports and logs
  • Ability to "think outside the box"
  • Ability to analyze situations accurately and adopt an effective course of action
  • Ability to interpret, apply and explain rules, regulations, policies and procedures

Responsibilities

  • Screen and route phone calls/emails
  • Refer callers and visitors to appropriate staff members
  • Handle confidential calls from staff, parents or matters of security
  • Organize conferences and special events
  • Coordinate all conference registrations and travel plans
  • Responsible for prioritizing, coordinating and organizing all office activities
  • Serve as project manager when needed
  • Responsible for initiating actions and procedures which serve and advance the interests and workload of the Superintendent
  • Responsible for providing sound judgment on how to resolve questions, complaints or other issues
  • Responsible for supporting the Board of Trustees as needed
  • Responsible for attending all Board of School Trustee meetings as directed by the Superintendent and/or the Board of Trustees
  • Responsible for handling the distribution of materials to the Board of Trustees as directed by the Superintendent
  • Responsible for recording and preparing the Minutes of the Board
  • Responsible for supporting Cabinet members by gathering necessary information and data when needed
  • Responsible for preparing and maintaining a variety of reports and records related to meetings, personnel, budgets, programs, services and financial activity
  • Monitor inventory levels of office and designated supplies and equipment
  • Order, receive and maintain appropriate levels of inventory
  • Prepare and process purchase orders, invoices and requisitions and arrange for payments as required
  • Maintain financial reporting activity as needed
