About The Position

This position provides executive-level administrative and operational support to the Director and senior leadership of the Division of Parks and Recreation. Manages central office operations and reception services; supervises administrative staff; coordinates complex scheduling, extensive travel, correspondence tracking, and information management activities.

Requirements

  • Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution; OR Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution AND two years of progressively responsible administrative/office management experience; OR High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; or an equivalent combination of education and experience.
  • Must have a valid driver’s license issued from within the United States or be able to obtain one within 90 days of employment.

Responsibilities

  • Coordinate director's calendar and schedules meetings, presentations, and arranges travel logistics. Screen and route telephone calls, mail, visitors, and appointments with discretion and confidentiality. Track correspondences and maintain comprehensive records for division staff.
  • Manages multiple tasks with competing deadlines. Prioritizes conflicting needs; resolves tasks expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Serves as a primary point of contact to inquiries and requests from legislators, agency staff, and the public; responds professionally to written and verbal inquiries; reviews and edits official correspondence and documents; and prepares materials for meetings, legislative briefings, staff meetings, and Council of State presentations.
  • Participates as a member of the division’s senior management team as an ad-hoc member and serves on various division and department committees, and manages special projects as needed.
  • Leads and manages the Administrative Professional Council (APC); contributes to the development and implementation of division policies and procedures; provides guidance, training, and work standards for administrative staff statewide; and supports management planning, research, and priority-setting activities.
