QUALIFICATIONS: High school graduate or equivalent required; college credits with office skills training or equivalent business school training preferred. Minimum of three (3) years of successful employment as a school district administrative assistant/administrative assistant III preferred. Knowledge of school district organization, operations and administrative policies, procedures and business practices. Demonstrated proficiency in Microsoft Office (Word, Excel & Power Point) and Microsoft Outlook. Effective verbal, written and listening communication skills, detail oriented and ability to work with a wide range of complex issues and confidential matters. Ability to prioritize, organize, multi-task numerous complex administrative activities and manage time with minimum supervision. Self-motivated, able to work under pressure and possess excellent interpersonal skills. Ability to maintain confidentiality of departmental personnel files, records and student information. Highly effective communication skills in dealing with people. TERMS OF EMPLOYMENT: 250 days SALARY/PAYGRADE: $49,363 – CP8 Salary Range (based on experience) as set by the Board of Trustees for the school year ESSENTIAL FUNCTIONS: Perform general office duties including processing communications (written, fax, telephone, agenda and e-mail) maintaining files and calendar. Assist in the preparation of department budget and perform recordkeeping tasks associated with the specific position. Maintain record of personnel absences, vacations and conference leaves for the department. Respond to routine inquiries from staff, the public and outside agencies and refer to appropriate campus or Student Services personnel. Maintain inventory of office supplies; order as needed. Assist in training of campus discipline entry personnel and AP secretaries. Enter department training/meetings dates into district staff development calendar. Coordinate receipt and dissemination of materials, budgetary records, appraisals, departmental employee records, etc., related to all areas of the department, including admissions, campus safety, elementary and secondary discipline. Create/coordinate department reports as requested (discipline reports, semester reports, six weeks reports). Assist in coordination of high school graduation ceremonies. Provide backup support for department directors and paraprofessionals. Maintain calendar and coordinate department special events activities, meetings, and trainings. Perform other duties as assigned by the Assistant Superintendent for Student Services.
