About The Position

The Executive Assistant (EA) and Reporting Analyst performs administrative and reporting responsibilities for the assigned operations Chief Executive. This role contributes directly to leadership effectiveness, organizational efficiency, and a positive, professional environment that reflects a continuous improvement culture. As a representative of the executive leader, the EA & Reporting Analyst will foster professional relationships and interact with internal and external clients and stakeholders.

Requirements

  • Complex problem solving within realm of role responsibilities, using strong analytical, organizational and research skills.
  • Independent decision maker exercising discretion/judgment.
  • Proactively escalate identified or potential issues.
  • Ability to communicate effectively and professionally with all levels including senior leaders with sensitivity to matters that require diplomacy.
  • Navigate organizational structures, changing environments and sensitive relationships.
  • Flexible and adaptable to workload changes; prioritize and perform multiple tasks simultaneously.
  • Advanced skills in MS Word, Excel, PowerPoint, Teams, SharePoint and Outlook.
  • Work independently and take initiative.
  • High school graduate or equivalent; related associate or bachelor's degree or administrative certification is highly preferred.
  • A minimum of 2 years of experience in financial reporting.
  • 5+ years of executive administrative assistant experience required, preferably in a manufacturing environment.
  • Ability to work 8-10 hours consecutively.
  • Prolonged periods of sitting at a desk and working on a computer.

Nice To Haves

  • Understanding of print/direct mail industry, technology and project management. methodology preferred.
  • Familiarity with ERP and MRP systems a plus.

Responsibilities

  • Provide proactive administrative and project support to the leadership team.
  • Maintain calendars; plan and schedule meetings and appointments.
  • Discreetly handle sensitive, confidential and proprietary information.
  • Answer calls, take messages and route correspondence.
  • Serve as liaison between executives and internal/external clients.
  • Coordinate travel arrangements and prepare itineraries, monitor travel.
  • Prepare expense reports per company guidelines; manage/review invoices and subscriptions for accuracy.
  • Create, download, produce and distribute reports.
  • Manage a variety of internal projects.
  • Partner with Finance to prepare and consolidate financial reports as needed that supports budget oversight and tracking.
  • Identify and implement improvements in manual reporting processes.
  • Collect, organize, and analyze operational data to identify trends and opportunities for improvement.
  • Analyze data and build reports to support project monitoring and decision making.
  • Develop and maintain dashboards, KPIs, and reports using tools such as Excel, Power BI, or Qlik Sense.
  • Prepare reports and presentations for leadership.
  • Ensure accuracy and integrity of operational data through audits and validation practices.
  • Perform other (or other related) duties as applicable or assigned.
