About The Position

We are looking for a highly organized, proactive Executive Assistant and Office Manager to serve as the right hand to three senior executives while simultaneously keeping our office running smoothly and efficiently. This role is fully on-site based at our GigaOne location in Salt Lake City (84104) working Monday through Friday from 9:00 AM – 5:00 PM. Requirements

  • 3+ years of experience in an executive assistant, office manager, or combined administrative role.
  • Proven ability to support multiple senior leaders simultaneously without losing attention to detail.
  • Exceptional organizational skills and the ability to manage competing priorities in a fast-paced environment.
  • Discretion and sound judgment when handling confidential information.
  • Strong written and verbal communication skills; professional presence with internal and external stakeholders.
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Drive) and Slack.
  • Self-starter who anticipates needs and takes initiative without being asked.
  • Proficiency in reading, writing, and speaking English required.

Responsibilities

  • Calendar Management: Schedule and manage complex, fast-moving calendars for executives, including internal and external meetings, board prep, conferences, and travel.
  • Communication Management: Manage high-level correspondence, prioritize communication requiring the executives attention, and triage inbound communication ensuring timely follow-through while maintaining confidentiality.
  • Meeting Preparation: Prepare agendas, briefing documents, presentations, and take accurate meeting minutes as needed.
  • Travel and Logistics: Arrange detailed travel itineraries, accommodations, ground transportation, and expense reporting.
  • Office Operations: Serve as the primary point of contact for all office-related needs, oversee the flow of foot traffic in the reception area, maintain an organized, professional and welcoming environment at all times.
  • Visitor & Guest Management: Manage both planned and unplanned arrivals with professionalism and warmth. Ensure all guests are properly signed in, badged and have completed any required NDA documentation and visitor protocol. .
  • Executive & Team Support: Anticipate the needs of team members and leadership ahead of key meetings and events — coordinating catering, preparing meeting spaces and ensuring everything is in place before it’s asked for.
  • Relationship Management: Manage vendor relationships including facilities, security, cleaning, and catering.
  • Employee Experience: Partner with People Ops to support onboarding, culture moments like team lunches and celebrations, while continuously working to improve the in-office experience.
  • Vendor & Facilities Liaison: Serve as the primary point of contact for vendors including facilities, security, cleaning, and catering, coordinating as needed to ensure seamless day-to-day operations.
  • Mail & Deliveries: Manage incoming and outgoing mail and packages, scanning and routing correspondence to the appropriate parties.
  • Administrative Operations: Maintain internal documentation and SOPs related to office operations and support ad hoc administrative projects across the People Ops and leadership team.
