About The Position

The AstraZeneca Mt. Vernon site was established in 1972 and is the flagship site delivering innovative, life changing oral solid medicines. At the site we formulate and pack OSD tablets and capsules for over 60+ markets. The Mt Vernon site is complex, the largest AZ production site in the US with over 700+ employees. We are located in the southwest corner of the state of Indiana, approximately 15 miles from Evansville, Indiana – the third largest city in the state. The Mt. Vernon site is both collaborative and Inclusive. Responsible for performing a variety of administrative and project-oriented activities in support of their function. The Administrative Coordinator is responsible for providing administrative support to the Mount Vernon Leadership Team. Also provides other site areas with administrative support as needed.

Requirements

  • High school diploma or GED.
  • 3 to 5 years of clerical and administrative experience in a fast-paced business environment is required.
  • Strong written and verbal communication skills; ability to interface with all levels of management and work in a highly collaborative manner.
  • Highly motivated, with outstanding time management, organizational, and customer service skills.
  • Ability to consistently follow through and take ownership of projects.
  • Ability to handle multiple projects or tasks while effectively prioritizing to meet deadlines.
  • Strong interpersonal skills and attention to detail are essential.
  • Ability to exercise good judgment and discretion -- analyzing and resolving confidential, difficult, and sensitive situations; ability to anticipate, take initiative, and resolve issues.
  • Must be able to work in a fast-paced, team environment and adapt to changing business needs.
  • Expert level experience with Outlook Mail, Outlook Calendar, Internet, and mastery of MS Office Suite including Excel, PowerPoint, and Word.

Responsibilities

  • Provides advanced front-line administrative support for the Mount Vernon Leadership Team
  • Maintain good working relationships with counterparts (international, internal and external customers) in order to meet the requirements of the business and insure a desirable flow of information.
  • Works autonomously in handling the day-to-day service and administrative functions
  • Provides internal communication support for site including, but not limited to: townhall planning, event planning, announcements, and other site communications activities & campaigns.
  • Provides support of external communication and PR activities to ensure alignment with the overall site communication plan.
  • Performs a broad range of duties including composing site communications, preparing documents, reports, presentations, catering events.
  • Maintains schedules and calendars; coordinates meetings and presentations for AZ Corporate and external visitors.
  • Handles sensitive personnel and company information with the highest degree of discretion to ensure integrity and confidentiality.
  • Supports the recruiting and staffing process for both exempt and non-exempt level positions. Schedules interviews with potential candidates and prepares documentation for interview team.
  • Performs onboarding setup requests as necessary to coordinate computer and software applications.
  • Compiles data and information from departments to develop and prepare site presentations.
  • Domestic and International Travel arrangements and expense reporting assistance for site leadership.
  • Performs a wide range of administrative and executive support related tasks with little or no supervision.
  • Issues Purchase Orders as required; maintains office supply inventory.
  • Performs other duties as required
