Requirements

  • Bachelor’s degree preferred in Business Administration, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Exceptional organizational, time management, and multitasking abilities.
  • Ability to manage calendars, coordinate meetings, and organize regional office operations.
  • Strong attention to detail and accuracy in preparing reports, presentations, and correspondence.
  • Excellent verbal and written communication skills; professional and polished demeanor.
  • Ability to interact effectively with internal teams, clients, and vendors at all levels.
  • Ability to handle confidential and sensitive information with discretion.
  • Self-motivated, proactive, and adaptable to a fast-paced real estate environment.
  • Strong analytical and critical thinking skills to support executive decision-making.

Nice To Haves

  • Professional certifications (e.g., Certified Administrative Professional, Real Estate License) are a plus.
  • Experience with real estate management software (e.g., MLS, Zipforms, Skyslope) is highly desirable.
  • Strong typing, data entry, and document management skills.

Responsibilities

  • Supporting daily operations and team needs.
  • Manage calendars, emails, phone calls, and meetings for the Regional Broker Owner with efficiency and precision.
  • Coordinate meetings between the Broker, clients, and agents, ensuring seamless communication and preparation.
  • Prepare professional reports, emails, phone calls, reports, and correspondence for internal and external use.
  • Handle confidential information, contracts, and documentation with discretion.
  • Attend staff meetings and actively contribute ideas to improve workflow and team collaboration.
  • Make outbound calls to prospective and existing agents to support recruitment, engagement, and growth.
  • Compile and maintain team reports, tracking performance and operational metrics.
