About The Position

Center for Human Development, Inc. is seeking a full-time Executive Administrative Assistant to provide comprehensive executive level administrative support to the Administrative Council (AC). The Executive Assistant supports AC by managing schedules, communications, and strategic administrative tasks. This role acts as a key partner to AC, ensuring their time is optimized and organizational priorities are met.

Requirements

  • Bachelor’s degree preferred.
  • 3 years of experience in administrative support preferred.
  • Any equivalent combination of experience and training which demonstrates the ability to perform the essential job functions.
  • Expertise to understand and work with operational and financial data.
  • Exhibit strong critical thinking, problem solving, and analytical skills.
  • Experience in maintaining a high level of confidentiality and professionalism.
  • Strong organizational and time management skills.
  • Detail-oriented.
  • Exceptional verbal and written communication skills, including demonstrated ability to use correct grammar and spelling.
  • Must accurately type at least 40 wpm.
  • Ability to work independently.
  • Experience and skill in using computers and computer programs, including Microsoft Word and Excel.
  • Project management skills.
  • Independent thinking.
  • Must possess a valid Oregon Driver’s license and be insurable for travel between business offices, and to attend required meeting and/or trainings.
  • Must pass all criminal history check requirements as required by ORS 536-181.537 and in accordance with OAR 407-007-0200-407-007-0370 and drug screening.

Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate high-level appointments.
  • Serve as the primary point of contact between AC and internal/external stakeholders.
  • Prepare executive-level reports, presentations, and correspondence.
  • Conduct research, compile data, to support decision-making.
  • Handle confidential information with discretion and professionalism.
  • Plan and coordinate executive meetings, events, and board activities.
  • Track deadlines, action items, and strategic priorities on behalf of AC.
  • Manage expenses, budgets, and financial documentation as needed.
  • Anticipate executive needs and proactively solve issues or streamline processes.
  • Provide customer service and support.
  • Record accurate and comprehensive meeting minutes.
  • Assist with managing calendars, research, reports, surveys, grants, etc.
  • Assist with research, annual reports, surveys, etc.
  • Monitor and manage grant tasks.
  • Manage and assist with various project tasks.
  • Organize and retrieve materials and documents.
  • Handle multiple tasks at one time.
  • Assist with ensuring accurate and timely record keeping to assist with various responsibilities of operations.
  • Demonstrate a high level of professionalism working with confidential and sensitive information.
  • Must maintain punctual and regular work attendance.
  • Must have the ability to maintain positive and professional working relationships with co-workers, clients and other agencies.
