The Executive Administrative Assistant I will provide high-level support to multiple Human Capital Vice Presidents, ensuring seamless coordination of daily operations and executive tasks. This role includes managing calendars, scheduling meetings, and arranging travel, while prioritizing critical tasks and resolving conflicts. The ideal candidate will draft and review correspondence, reports, and presentations with accuracy and professionalism, as well as organize meeting materials and follow-up actions. Responsible for handling sensitive information with the utmost confidentiality, the Executive Assistant will also support HR-related processes, maintain accurate records in HRIS systems, and facilitate compliance documentation. Building strong relationships with internal and external stakeholders, leveraging technology to streamline workflows, and proactively addressing administrative challenges are key components of this role. This position is ideal for a detail-oriented professional with exceptional organizational, communication, and problem-solving skills.

Requirements

  • 2-year college degree in a related field
  • 2 years of administrative support experience, within HR preferred
  • Thorough understanding of HR policies, procedures, and compliance standards, with the ability to apply this knowledge to ensure adherence to regulations and support effective decision-making.
  • Demonstrated ability to prioritize and manage multiple tasks, projects, and competing deadlines with strong organizational skills, attention to detail, and effective time management strategies.
  • Proven ability to handle sensitive information with the utmost confidentiality and discretion, ensuring compliance with privacy standards and maintaining trust in all professional interactions
  • Excellent communication skills with the ability to clearly convey ideas, actively listen, provide constructive feedback, and adapt messaging to diverse audiences to foster collaboration and achieve shared goals

Responsibilities

  • Coordinate and manage calendars for two Human Capital Vice Presidents, scheduling meetings, appointments, and travel while resolving conflicts and prioritizing critical tasks ensuring timely execution of HR-related activities and deadlines.
  • Draft, review, and distribute correspondence, reports, presentations, and other documents with accuracy and professionalism.
  • Organize and prepare materials for meetings, including agendas, presentations, and follow-up notes, ensuring all stakeholders are well-informed and prepared.
  • Manage sensitive employee information and executive communications with the highest level of confidentiality and discretion.
  • Assist with HR-related processes such as recruitment, onboarding, total rewards, submitting expense reimbursement, invoice processing, and compliance requirements.
  • Serve as a point of contact for internal and external stakeholders, fostering positive relationships and facilitating effective communication.
  • Maintain and update accurate records in HRIS systems and other databases, ensuring compliance with company policies and legal requirements.
  • Leverage advanced knowledge of office software, scheduling tools, and virtual communication platforms to streamline workflows and improve efficiency.
  • Anticipate needs, resolve scheduling conflicts, and proactively address administrative challenges to support the smooth operation of the Human Capital team.
