About The Position

Wise is a global technology company focused on building the best way to move and manage the world’s money, aiming for minimal fees, maximum ease, and full speed. The company is on a mission to make international money transfers and payments easier and more affordable for people and businesses. As an Events Specialist, you will join the Events team to support and execute a variety of global internal events, primarily at the Austin office and external venues, with occasional assistance at other Wise locations. This role requires a detail-oriented, organized, proactive, and creative individual who can collaborate closely with the Global Events Lead and excel both independently and in a team setting.

Requirements

  • 2+ years’ experience coordinating and delivering events end-to-end (planning, on-site delivery, post-event wrap), ideally in a fast-paced environment.
  • Strong project management skills, including creating plans/run-of-show, managing timelines, tasks, risks, and stakeholders.
  • Hands-on experience with event logistics and vendors (venues, catering, AV/production, travel/transport/accommodation), with strong attention to detail.
  • Comfortable supporting hybrid formats (live events, video conferencing, webinars/livestreams) and troubleshooting during delivery.
  • Experience managing budgets, tracking spend (quotes/POs/invoices), and negotiating value with suppliers.
  • Excellent communication skills in English and a collaborative, proactive working style.
  • Based in Austin (or able to work primarily from the Austin office) with flexibility to work outside core hours during events and occasional travel to support other locations.

Responsibilities

  • Support Global Events Lead while planning and executing internal company events.
  • Follow detailed project plans, create sub-plans if needed, define project tasks, risks, timelines, and resource requirements for pre-event, on-site, and post-event activities.
  • Help mitigate risks across various events and locations, partnering cross-team to identify resolutions to risks and issues.
  • Support running logistical aspects of events such as live conferences, webinars, video conferences, and live streams with internal teams and external partners.
  • Oversee travel, transportation, and accommodation guidance for events.
  • Help source venues in different locations, setting criteria and standards for internal events.
  • Manage event vendors' budgets, negotiate prices/better deals where possible, and keep track of all expenses and invoices.
  • Help source and manage potential new partners and identify new preferred partners and cost-efficient opportunities.
  • Support new vendor onboarding if required and ensure partner relationships are well taken care of.
  • Support each project and its stakeholders to meet event expectations and production.
  • Conduct post-event evaluations to gather feedback, analyze event data and success, and identify areas for improvement.
  • Own and run different event parts or independent events, with a main focus on local events from planning to delivery, and opportunities to work on global event projects.
  • Collaborate with internal and external stakeholders around the world, coordinating projects and events with local partners, vendors, and internal teams like AV, Design, Legal, DEI, and Workplace.
  • Use creativity to mitigate risks and come up with quick fixes or solutions to unforeseen circumstances during event planning or execution.
  • Gather and present event-related data and reports for a chosen audience to inform future event planning and goal setting.
