About The Position

Step into a pivotal role at ReadyCT and help shape the state’s education and workforce landscape by bringing high-impact industry experiences to life! We are looking for a visionary organizer to lead the strategy and execution of our events, including our flagship manufacturing careers roadshow series. You will oversee the planning and execution of internal and external events, supporting the ReadyCT team and our mission every step of the way. WHO WE ARE: ReadyCT is a statewide 501(c)(3) nonprofit organization that works to advance academic excellence and career-connected learning for all public school students in Connecticut through collaboration with business, civic, and education leaders. ReadyCT accomplishes its mission by offering dynamic career readiness programming for K-12 students and educators that, with intention, bridges the gap between public education and the employers who will, ultimately, hire their future workforce from our public schools. Businesses continue to respond well to the programming; last year, over 230 Connecticut businesses of all sizes and across all sectors worked alongside ReadyCT to inform our programming efforts. ReadyCT also maintains a presence in legislative circles, advocating for policies that (1) systematically improve Connecticut public education, with an emphasis on advancing access and equity, and (2) advance workforce shortage solutions (from a K-12 perspective) that aid in providing Connecticut employers with the talent they need to sustain and grow their businesses. ReadyCT is an affiliate of CBIA, the CT Business & Industry Association, which is the largest, most representative business organization in the state. The affiliation is leveraged in support of all ReadyCT efforts. ABOUT THE ROLE: We’re looking for an events specialist who thrives on organization and project management — someone who enjoys coordinating moving parts, staying ahead of timelines, and making sure nothing slips through the cracks. With a primary focus on leading the planning and execution of our statewide manufacturing careers roadshow series, you’ll also support additional internal and external events throughout the year. Our annual roadshow series unites middle and high school students with manufacturers at up to six locations across the state. You’ll manage every detail with care while building strong relationships across the organization and with schools, manufacturers, employers, and other workforce partners throughout Connecticut. Requirements

  • A passion for education and developing the potential of ALL students.
  • A bachelor's degree (preferred) or commensurate work experience.
  • 3-5 years of experience in event planning and/or project management.
  • A proven ability to build and manage relationships across a diverse array of stakeholders.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in event planning software (e.g., Eventbrite and Mailchimp) and Google Workspace.
  • Comfort working in uncertain situations with an aptitude for problem-solving.
  • Composure under pressure and commitment to customer focus.
  • Flexibility with work schedules and reliable transportation for travel within the state of Connecticut, as needed, for on-site event selection and management.
  • Frequent standing, walking, reaching, bending, twisting, stooping, kneeling, and crouching required in preparation for and during events and program activities.
  • Consistent operation of computers, office equipment, and presentation technology (e.g., projector, copy machine, printer).

Responsibilities

  • Lead end‑to-end planning and project management for ReadyCT events, convening key staff/partners, coordinating timelines, deliverables, and cross‑team workflows.
  • Oversee venue preparation, room configuration, signage, and overall event flow to ensure smooth execution.
  • Anticipate operational needs, resolve issues quickly, and maintain structured planning systems.
  • Manage all logistical components, including transportation arrangements, bus coordination, food/refreshments, equipment, supplies, printed materials, and branded items.
  • Maintain inventory systems and ensure timely production and delivery of all event assets.
  • Serve as the primary liaison for vendors, negotiating expectations, monitoring performance, and ensuring high‑quality service.
  • Build and manage registration platforms, including creating Eventbrite pages, customizing forms, and monitoring sign‑ups.
  • Lead attendee outreach, confirmations, reminders, and troubleshooting to maintain accurate and complete registration data.
  • Use registration insights to inform staffing, materials planning, and event‑day logistics.
  • Drive targeted outreach to school districts and other key stakeholders to increase participation and ensure strong representation at each event.
  • Cultivate relationships with target attendees and partners to promote engagement and attendance.
  • Develop messaging and outreach strategies that highlight event value and encourage broad participation.
  • Support internal programmatic events, including staff meetings, training, onboarding, and team gatherings.
  • Coordinate volunteer processes for internal and external events.
  • Assist program leads with miscellaneous projects and provide administrative assistance to leadership, as appropriate.
