About The Position

The Events Registration & Technology Specialist plays a critical role in supporting the planning, execution, and continuous improvement of organizational events and meetings, with a primary focus on event registration, communication, and housing builds using event technology. This role is responsible for configuring and managing event registration platforms, supporting event operations, and ensuring accurate, timely communication and reporting. Working closely with the Events team and internal stakeholders, this position helps deliver seamless event experiences by leveraging technology and supporting standardized processes for 5–10 large-scale events.

  • To be considered for this position, you must reside within 75-miles of the Northfield, IL office and meet the in-office requirements.

Responsibilities

  • Configure and manage registration for 5–10 large-scale events annually within the Event Management System (Cvent).
  • Translate event requirements from request into accurate registration builds, including attendee types, workflows, and communications.
  • Partner with Events team members to ensure timely and accurate setup of all events in alignment with established processes and timelines.
  • Maintain and update registration templates, standards, and best practices to improve efficiency and consistency.
  • Generate and distribute event registration and housing reports to support planning, decision-making, and stakeholder needs.
  • Monitor registration activity, identify discrepancies or data anomalies, and implement timely resolutions.
  • Support and help build event registration.
  • Support implementation and management of Passkey for housing, enabling real-time hotel reservations with secure payment processing.
  • Improve operational efficiency through automation and real-time updates.
  • Enhance the attendee experience with a seamless self-service booking process.
  • Support the events team in modernizing and scaling housing operations.
  • Support the execution of event technology operations, including system configuration, testing, and quality assurance (QA).
  • Create and manage attendee communications, including confirmations, reminders, updates, and cancellations.
  • Maintain and support a centralized “single source of truth” for all meetings and events calendars within the event management platform.
  • Conduct end-to-end testing of registration builds using test profiles to ensure accuracy and functionality.
  • Collaborate with internal teams to support event readiness and onsite success as needed.
  • Document registration requirements, workflows, and system configurations to ensure consistency and knowledge sharing.
  • Maintain user guides, process flows, and standard operating procedures related to event technology and reporting.
  • Partner with Events leadership and stakeholders to continuously improve registration processes and data collection methods.
  • Assist in updating meeting request forms and tools to align with evolving event and registration needs.
  • Provide responsive, high-quality customer service to internal staff and stakeholders via shared inboxes and communication channels.
  • Contribute to team collaboration, process improvement initiatives, and overall event success.
  • Perform additional duties as assigned.
