Responsibilities include but are not limited to support hotel group guests by reviewing contracts/sales agreements, monitoring deposits, auditing/completing final invoices and issuing to customer, collecting payment. RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO: Represent the hotel in a positive manner at all times. Walk all set event space(s) to ensure proper set up and all requirements per the Banquet Event Orders are ready for client. Meet, Greet, and coordinate with site contacts and Event Operations Manager to confirm event arrangements and Event Orders prior to event. Establish and maintain rapport with clients, prior to, during and post event, encouraging repeat business. Ensure meeting signage and event boards are accurate. Set up payment schedules, create event resumes and BEO’s for operations team and other client correspondence. Create, communicate and distribute floor plans for each event to ensure hotel and client are in agreement prior to set up and obtain guarantees for F&B events. Upsell and develop menu suggestions to client. Effective use of tracking activities, tracing future contact outreach efforts. Maintain strong relationships and work effectively with Director of Sales, Director of Operations, and Group Sales Manager, Sales Coordinator, Chef and Event Operations Manager to maximize revenue opportunities and secure communication. Actively seek new business opportunities for the hotel through networking while being held accountable for weekly/monthly call production to meet goals, aligned by the Director of Sales & Marketing. Attend and lead weekly and daily BEO meetings between Food and Beverage and Operations departments. Complete duties as outlined by the Director of Sales. Meet and exceed budgeted food and beverage, meeting room rental and audio visual revenue goals as outlined by the hotel’s budget. Follow prescribed Action Calendar in Marketing Plan to ensure assigned activities are completed in a timely manner Assist in developing Marketing Plan for following year Assist in maintaining a team effort with fellow sales staff members as well as with other departments within the hotel. Respond promptly to all clients; resulting in documentation of all communication preferably within 4 hours. Assist generating new business for Hotel EMC2 through prospecting efforts and relationship building to ensure quarterly goal is met, in slow time periods to assist the sales team. Follow-up with all clients before, during and after all meetings by up-keeping a current trace system through written, verbal and personal communication with clients. Keep abreast of all in-house functions and ensure that all departments are aware of all catered events and any changes on a timely basis. Have the ability to multi-task. Create and updating Banquet Event Orders, confirming guarantees and handling changes from clients. Be self-motivated to act proactively to ensure excellent customer service to all clients and contacts. Prepare, email event orders with correct attachment papers that are required, such as, credit card authorization form, rooming list, direct bill application. Contact new clients and maintain rapport with existing client base. Be familiar with hotel layout, event space and catering menus Oversee the file turnover of definite groups and assist the sales team with CI/TY procedures. Relay last minute changes/additions to BEO's either in person or by phone to all departments effected. Be familiar with current sales programs and promotions of the hotel Participate in daily sales stand up meeting and weekly sales & staff meetings.
