About The Position

The Event Planner Assistant plays a critical role in supporting Medline’s regional and national trade show logistics. This position ensures all tradeshow materials are properly managed, vendors are coordinated efficiently, and field teams receive timely and accurate support. The ideal candidate is detail oriented, proactive, and thrives in a fast paced, service oriented environment.

Requirements

High school diploma or equivalent.
1–3 years of experience in event support, marketing operations, supply chain coordination, or administrative support.
Strong organizational skills with the ability to manage multiple priorities simultaneously.
Excellent communication skills, with service oriented responsiveness.
Ability to work cross functionally with field teams, vendors, and internal stakeholders.
Proficiency in Excel, SharePoint, and enterprise management systems (portal or inventory tools preferred).

Responsibilities

Oversee the Medline tradeshow ordering portal, managing day to day functionality and item accuracy.
Act as the primary liaison with vendors supplying tradeshow materials, ensuring clear communication and timely fulfillment of orders.
Ensure all assets—including banners, tablecloths, signage, and giveaways—are properly inventoried, updated, and accessible to internal users.
Track vendor performance, escalate issues, and maintain positive working relationships.
Provide support to field employees requesting tradeshow materials or assistance with portal ordering.
Troubleshoot issues related to inventory access, order entry, and delivery tracking.
Assist with collection, verification, and entry of compliance numbers and certification details within the portal.
Assist field teams with payment submissions by validating required documentation and routing requests appropriately
