About The Position

The Customer Care Representative Team serves as the first and last point of contact for our clients, playing a crucial role in shaping their experience and encouraging their return to our practice. This role involves delivering exceptional client service by managing incoming calls, scheduling appointments, and supporting the veterinary team. The ideal candidate will have customer service experience, a working knowledge of horses and the veterinary field, and strong multitasking skills. They should also demonstrate excellent written and verbal communication skills and possess a strong ability to identify, analyze, and resolve issues effectively. Requirements

  • High school diploma or equivalent.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers, clients, customers, and the general public.
  • Ability to calculate figures and amounts such as drug doses, dilutions, percentages, rate, ratio and volume.
  • Ability to apply concepts of basic algebra, add subtract, multiply and divide all units of measure using whole numbers, common fractions and decimals.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Computer literacy in common computer software programs.
  • Ability to gain proficiency using HVMS.

Nice To Haves

  • Bachelor's or associate degree preferred.
  • Experience in a veterinary clinic, medical office or related is highly desirable.
  • Experience in computer and office equipment troubleshooting desirable.

Responsibilities

  • Answer incoming telephone calls using proper etiquette, providing knowledgeable, sub-professional guidance on horse care, treatment, hospital services, fees, and animal care in line with clinic policies.
  • Direct inquiries to veterinarians, the Board Liaison, or other relevant staff as needed.
  • Engage professionally with clients through verbal and written communication, check clients in for in-clinic appointments, and coordinate with the appropriate staff.
  • Inform clients of any appointment delays when necessary.
  • Maintain an efficient veterinarian appointment schedule by screening emergencies and prioritizing cases as required.
