About The Position

We’re looking for a customer-focused, highly organized Enrollment Coordinator who thrives as the first point of contact for prospective families. The ideal candidate is warm, responsive, and confident managing high-volume inbound communications (calls, chats, texts, emails, and social media), qualifying leads, scheduling consultations, and supporting a smooth new patient enrollment into the Tolerance Induction Program. The ideal candidate will possess a foundational understanding of medical terminology, appointment scheduling, and insurance and billing language.

Requirements

  • Education: High school diploma or equivalent required.
  • Experience: 2+ years of experience in patient onboarding, medical scheduling, or a similar healthcare role.
  • Strong customer service and communication skills.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Proficiency in CRM systems, patient portals, and scheduling software (e.g., HubSpot, EHR).
  • Comfortable with virtual communication tools (chat, email, social media).
  • Collaborative mindset with an ability to work independently and in a team setting.

Responsibilities

  • Answer the main phone line and transfer calls to the appropriate department or phone tree.
  • Answer basic questions from current and prospective leads.
  • Follow up with leads who attended webinars and send consultation call scheduling requests.
  • Follow up with leads who have missed or canceled consultation calls, sending a rescheduling request once a week for three weeks before marking as unresponsive.
  • Take notes from leads requesting to speak with their Enrollment Specialist, Financial & Scheduling Counselor, or Onboarding Specialist, inform the appropriate team member, and assist with scheduling a callback.
  • Schedule consultation calls over the phone.
  • Fill out enrollment forms over the phone with leads and send forms via text.
  • Reschedule consultation and insurance calls via phone, email, or text.
  • Verify and qualify leads before assigning them to an Enrollment Specialist.
  • Update lead profiles in CRM and ensure ≥ 95% accuracy in data entry.
  • Delegate and assign tickets to the correct department or Enrollment Specialist, ensuring they are tagged to the correct lead profile.
  • Manage the More Information Pipeline to ensure qualified leads are transitioned efficiently.
