About The Position

The Enrollment and Student Data Coordinator plays a critical role in supporting TMSA Public Charter Schools’ enrollment growth, retention, and strategic marketing efforts by managing student enrollment systems, data integrity, and reporting processes. This position ensures accurate, timely, and compliant enrollment data across all campuses while directly supporting recruitment campaigns, enrollment pipelines, waitlists, withdrawals, and re-enrollment processes. Working closely with the Director of Marketing, school leaders, Operations, Accountability, and IT, the Coordinator transforms enrollment and student data into actionable insights that drive strategic decision-making, improve family experience, and support sustainable network growth. This role serves as the central point of coordination for enrollment systems and student data workflows across the district.

Requirements

  • Bachelor’s degree in Education, Data Analytics, Information Systems, Marketing, Business Administration, or a related field required; Master’s degree preferred
  • Experience working with Student Information Systems (SIS) and enrollment platforms in K–12 education preferred
  • Demonstrated experience managing enrollment data, student records, and reporting processes
  • Strong attention to detail and commitment to data accuracy and compliance
  • Ability to analyze data trends and present findings clearly to non-technical stakeholders
  • Excellent organizational, communication, and collaboration skills
  • Experience in charter schools or Title I environments preferred
  • Strong data management and analytical skills
  • Proficiency with spreadsheets, dashboards, and reporting tools
  • Ability to manage multiple deadlines during peak enrollment cycles
  • Customer-service mindset when working with families and school staff
  • Strong problem-solving and systems-thinking abilities
  • Ability to maintain confidentiality and handle sensitive student information
  • Comfortable working cross-functionally with marketing, operations, academics, and IT

Responsibilities

  • ENROLLMENT MANAGEMENT & SYSTEMS Manage and maintain districtwide enrollment systems, including applications, lotteries, waitlists, acceptances, withdrawals, and re-enrollment processes.
  • Ensure enrollment data accuracy across all campuses and alignment between marketing pipelines and SIS records.
  • Support school-based enrollment teams with training, troubleshooting, and enrollment best practices.
  • Monitor enrollment targets, seat availability, grade-level capacity, and demographic trends.
  • Coordinate enrollment timelines and key milestones in partnership with the Director of Marketing.
  • STUDENT DATA MANAGEMENT & INTEGRITY Maintain accurate student records, including enrollment status, attendance, demographics, and mobility data.
  • Conduct regular audits and validation checks to ensure compliance with district, state, and federal reporting requirements.
  • Collaborate with Operations and Accountability to ensure enrollment data aligns with funding, compliance, and reporting expectations.
  • REPORTING & DATA ANALYSIS Generate enrollment reports, dashboards, and projections for district leadership, school leaders, and marketing campaigns.
  • Analyze enrollment trends, retention patterns, and attrition data to inform recruitment and retention strategies.
  • Support board reports, grant submissions, and strategic planning with accurate enrollment data.
  • MARKETING & CROSS-DEPARTMENT COLLABORATION Partner closely with the Marketing Department to align enrollment data with outreach, recruitment, and communication campaigns.
  • Provide actionable insights that support targeted marketing efforts and community engagement strategies.
  • Collaborate with IT to support system integrations and resolve technical enrollment-related issues.
  • TRAINING & SUPPORT Develop and maintain enrollment procedures, documentation, and user guides for school-based staff.
  • Train school personnel on enrollment systems, data entry expectations, and compliance protocols.
  • Serve as a district resource for enrollment-related questions from campuses and central office teams.
  • CONTINUOUS IMPROVEMENT Identify opportunities to streamline enrollment workflows and improve the family experience.
  • Stay current on best practices in enrollment management, data compliance, and charter school reporting.
  • Perform additional duties as assigned by the Director of Marketing.
