Requirements

  • H.S Diploma or equivalent required
  • 2 + years of administrative experience required. Strong preference for experience in a manufacturing, engineering, or industrial environment.
  • Excellent organizational and time-management skills with strong attention to detail required.
  • Strong written and verbal communication skills required.
  • SAP experience required.
  • Proficient in M.S Applications including but not limited to Word, Excel, Outlook, Access, and PowerPoint.

Responsibilities

  • Support the administration of the Engineering and Quality Departments
  • Provide direct administrative support to department staff and leadership
  • Maintain a high level of professionalism and confidentiality
  • Communicate effectively cross functionally using a variety of methods
  • Organize calendars, schedule meetings, coordinates department activities, and schedules travel as applicable.
  • Maintain department files, logs, and records to ensure accurate retention requirements are met
  • Manages department personnel and training files, manuals, and matrix’s
  • Send customers information regarding SDS, certifications, and product statements
  • Coordinate process to fulfill customer sample shipment request
  • Support FDA inspections
  • Serves as the ISO Coordinator for both departments, updating documents and supporting audits as required.
  • Act as an Administrator for Quality Management Software (Veeva)
  • Prepare requisitions through SAP
  • Reviews supply inventory and orders when required
  • Manages Quality and Engineering Sitewide procedures and Forms
  • Manage SharePoint site for Engineering and Quality
  • Assist with any applicable monthly/quarterly/yearly activities, including monthly reporting.
  • DocuSign Administration – Invoicing, AFE’s Project Closures, NDA’s – Route, track, report, and file
  • Facilitate Time sheet reminder emails
  • Coordinate with Finance and Procurement on a variety of tasks including but not limited to past due invoices and equipment orders. New employee SAP setup
  • Communicate with external vendors professionally and effectively.
  • Work efficiently in the SAP system to assist in building vendor information, create requisitions, track project updates etc.
  • Assists and gives direction where applicable for the scanning of blueprint files.
  • Oversee department vacation calendar.
  • Coordinates bid-walks as applicable.
  • Assist the department by onboarding contractors to ensure all F-Policies have been reviewed, they have watched the safety video, and PPE requirements are met.
  • Serves as the primary point of contact for all Quality and Project Engineering vendors / visitors.
  • Provide backup for the Executive Administrative Assistant during times of vacation or absence.
