The City of Kent is looking for a Project Coordinator who excels at orchestrating complex logistics and bridging the gap between developers and City staff. In this role, you will manage the essential workflow of engineering permits, ensuring that private development projects move from blueprint to reality with precision and speed. The ideal candidate will have two (2) years of college or an associate’s degree in a related field and four (4) years of program coordinator experience, to include at least one (1) year of experience working in an engineering, architectural, or construction field. SALARY: $7,806.00- $9,533.00 per month, depending on experience For a listing of benefits, please use the following link: Employee Benefits | City of Kent (kentwa.gov) GENERAL PURPOSE: Reporting to the Development Engineering Manager, the Project Coordinator oversees the section’s workflow to ensure engineering permit applications for private development projects are reviewed by appropriate stakeholders and in a timely manner. This role provides high-level logistic, communication and administrative support, acting as a key liaison between City staff, developers, and the public regarding permit requirements and processes.

Requirements

  • KNOWLEDGE OF: Principles and practices of surveying, engineering and construction of development projects

  • Municipal government policies, procedures, and structure; and applicable local, state, and federal laws, codes, regulations, and ordinances

  • Education: Two years of college or AA degree in a field associated with the position responsibilities; and
  • Experience: Four (4) years of project or program coordination experience including at least one (1) year of experience working in the Engineering, Architectural, or Construction field.
  • Valid Washington State Driver’s License, or the ability to obtain within thirty (30) days of employment

Responsibilities

  • Workflow Management: Coordinate the routing, tracking, and approval of engineering plans and permits.
  • Communication: Provide process guidance to applicants and stakeholders; respond to status inquiries; ensure documentation is complete and compliant.
  • System Support: Assist staff with the citywide permit tracking system and maintain performance data reports, forms and process documentation.
  • Coordination: Schedule and facilitate review meetings and provide work direction to administrative or temporary staff as needed.
  • Coordinate and facilitate permit review, processing, and approval within the Development Engineering section and multiple divisions in ECD and Public Works departments as needed.
  • Assist Development Engineers with providing, communicating and finalizing review comments using the City’s permitting software and associated plan review software.
  • Schedule, coordinate, and lead the Development Engineering Section’s plan review and other meetings with City staff, contractors, developers, applicants, and other interested and affected parties ensuring that the needed information is ready, all agenda items are covered and appropriate follow-up is completed.
  • Coordinate the preparation, review and completion of property management documents, financial guarantees, liability insurance and other documents required for permit issuance.
  • Proactively track and facilitate the preparation and review process of the documents until completion.
  • Facilitate document recording and/or archiving
  • Provide information to the public, City staff, developers, and applicants regarding Development Engineering and City permit review/approval processes, procedures, submittal requirements, and project status. This includes, but is not limited to, cash and surety bonds, certificates of insurance, legal agreements, property management documents, plat conditions, and bills of sale for development projects.
  • Provide support to staff to ensure adherence to permit process requirements; collaborate on permit process improvements and work with staff to implement those changes; consolidate requests for process changes identifying user needs and potential enhancements of the permitting software and necessary revisions to forms and procedures.
  • Provide technical support, training, and troubleshoot problems for ECD and Public Works personnel using the city’s permit tracking system.
  • Coordinate the preparation review and approval of legal documents such as easements, deeds, and agreements; compare documents for consistency to approved templates and related documents.
  • Ensure materials necessary for review have been provided.
  • Coordinate critical area reviews of easements, and financial guarantees with planning department.
  • Conduct and analyze research and perform special projects as assigned.
  • Research, collect data, and assist in the development and implementation of department performance measures for the Development Engineering Division.
  • Assemble construction plans and associated agreements for submittal and approval by King County Metro on all sanitary sewer extensions.
  • Assist the Development Engineering Manager with the development and/or revision of policies, procedures, and standards.
  • Provide work direction and orientation to administrative and temporary staff, as needed.
  • Actively support the City’s mission, vision, values, and goals.
  • Perform related duties as assigned.
  • The incumbent may chair/conduct/attend meetings as needed and serve as a member of various City committees and taskforces as assigned.
