About The Position

At Community-Minded Enterprises (CME), we believe strong communities begin with strong support systems for children and families. Our Early Learning programs work across Eastern Washington to strengthen child care systems, support providers, and expand access to high-quality early education. We are looking for a highly organized and proactive Administrative Associate to help keep our Early Learning Department running smoothly. This role is perfect for someone who enjoys coordinating details, supporting teams, and making sure important programs stay organized and on track.

Requirements

  • Associate’s degree in Business Administration, Administrative Support, or related field preferred.
  • Two or more years of administrative experience.
  • Experience with data entry, data tracking, and electronic systems.
  • Valid driver’s license and vehicle liability insurance.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to maintain confidentiality and manage multiple priorities.

Nice To Haves

  • Bilingual/biliterate in Spanish.
  • Experience supporting multiple teams or departments.
  • Experience with tools such as JotForm, Constant Contact, Canva, or similar platforms.

Responsibilities

  • Provide administrative support to the Director of Early Learning and department staff.
  • Manage calendars, schedule meetings, prepare agendas, and take meeting notes.
  • Coordinate travel arrangements for Child Care Aware of Eastern Washington staff.
  • Serve as a point of contact for department communications.
  • Respond to phone calls and emails and route inquiries appropriately.
  • Develop and distribute department communications such as the Bi-weekly Social Circle and Friday Notes.
  • Assist with presentations, reports, and training materials.
  • Maintain organized files while ensuring the confidentiality of sensitive information.
  • Assist with data entry, tracking, and reporting for program deliverables.
  • Monitor systems including the CCA of WA IMPACT system, MERIT system, and CME training registrations.
  • Coordinate logistics for meetings, trainings, and events.
  • Assist with research, data collection, and presentation materials.
  • Support Early Learning supervisors in tracking program deliverables.
  • Assist with general office tasks such as ordering supplies and managing mail.
  • Provide support across departments as needed.
