About The Position

The Early Learning Systems Coordinator is responsible for coordinating the operational aspects of the Oregon Child Care Alliance (OCCA), building partnerships, as well as delivering structured course instruction and business coaching. The role involves coordinating administrative tasks, supporting business coaches, and providing structured learning experiences through course instruction. Through this integrated approach, the Coordinator supports individual educators, strengthens coaching infrastructure, and contributes to a more resilient and sustainable early childhood system across Oregon. This role serves as part of the OCCA leadership team, collaborating closely with the Director and Associate Director.

Requirements

  • Bachelor’s degree in education, business, or a related field, or ORO Step 10 or equivalent experience required.
  • Minimum of two years of experience in program coordination, education, coaching, or related field.
  • Experience in early childhood education, business coaching, or related areas preferred.
  • Master Trainer Credential
  • Adult Education Instructor Certificate
  • Knowledge of Early Childhood Education Systems, Child Care Operations, and licensing environments.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Zoom, Google Drive.
  • Experience in spreadsheet tracking and database management, including generating reports.
  • Knowledge of adult learning theories, coaching, and instructional skills, with experience facilitating both virtual and in-person learning.
  • Reliable transportation is required.

Responsibilities

  • Program Coordination:
  • Develop streamlined systems and processes for program efficiency.
  • Support building, strengthening, and maintaining partnerships with key organizations.
  • Identify new opportunities for growth, including grants and partnerships, and initiate collecting information and drafting frameworks for presenting to the leadership team.
  • Attend and actively participate in the Early Childhood Coalition, supporting the advocacy branch of programming.
  • Coordinate translation of OCCA materials from English to other languages with external translation services.
  • Assist in community outreach and marketing efforts.
  • Oversee marketing, coordinate applications and waitlist.
  • Engage in the community to identify and cultivate shared-services partnerships, drafting partnership agreements that expand access to resources and reduce operational burdens for childcare programs.
  • Course Instructor Responsibilities:
  • Design and deliver engaging, well-structured courses and training content on early childhood education and business coaching that are culturally responsive.
  • Provide training to coaches: Facilitate learning sessions, workshops, or meetings with coaches and advisors.
  • Create course materials, including PowerPoints, handouts, and assignments, ensuring they are accessible and inclusive.
  • Conduct live virtual and in-person classes, facilitating discussions and interactive learning activities.
  • Collaborate with CCRR business coaches to integrate coaching techniques into course instruction, ensuring consistency and excellence across all program components.
  • Adjust course content based on participant needs, feedback, and evolving industry standards.
  • Design and implement high-quality professional development systems that equip ECE coaches to effectively support early childhood educators in both business operations and people-centered leadership.
  • Develop comprehensive training curricula for coaches that integrate childcare business fundamentals, human-centered leadership practices, and applied coaching strategies.
  • Build and monitor the LMS systems that will track and hold the curriculum, keep them up to date, and provide training on them.
  • Facilitate communities of practice and regional coach check-ins, creating spaces for collaboration, peer learning, and continuous improvement among ECE coaches and advisors.
  • Support peer learning and troubleshooting challenges.
  • Administrative Tasks:
  • Take notes during meetings and send them to all the attendees after the meeting.
  • Send meeting invitations for the regularly scheduled meetings with the partners on behalf of the Associate Director.
  • Step in as a backup facilitator of the meetings with the partners when the Associate Director is not available.
  • Process vendors' invoices and credit card receipts with expense codes.
  • Assist the Associate Director with the expense tracking, data management systems, and reporting.
  • Manage the OCCA website, social media accounts, and newsletter.
  • Other:
  • Participate in advisory efforts by attending meetings, conferences, and advocacy events as approved by the Program Director.
  • Relationship-building with community partners and shared-services providers, including outreach, follow-up conversations, and drafting or revising partnership agreements.
  • Perform additional related duties as assigned by the Director and Associate Director.
  • Must be able to travel to all regions and counties across Oregon on a monthly to quarterly basis or as needed.
