About The Position

This is a highly customer service oriented position in which employees should strive to exceed customer expectations. Perform manual, machine, and computer/printer operations relating to mail, bulk mail, internal distribution, and duplicating functions. Pick up, sort, and process university incoming and outgoing mail. Deliver University money deposits to bank as assigned. Travel to the Post Office daily for pickup and delivery of US mail. Serve as alternate for other Business Services area employees.

Requirements

  • Minimal Qualifications: High School diploma or equivalent.
  • Minimal Experience: One (1) or more years of related experience.
  • Hold a valid NYS driver’s license with a driving record acceptable to meet the University insurance standards.
  • Ability to learn postal regulations, mailroom duties, and associated computer applications.
  • Ability to operate the lift on the package truck.
  • Capability to learn multiple software applications.
  • Ability to learn the many duties required in the Business Services operation.
  • Must have enthusiasm for the job, a customer service approach and be willing to work in a team environment.

  • Possess general knowledge of the campus layout and building locations.

  • Preferred Qualifications: Associates degree or work experience equivalent.
  • Preferred Experience: Four years of duplicating/mailroom experience.
  • Fork truck operation certification.

Responsibilities

  • Provide assistance to customers with duplicating and mailroom questions.
  • Use computer software for address presorting for bulk mail certifications and address printing.
  • Collate, stuff, bag/bucket/tray and zip code third class mailings according to postal regulations.
  • Complete all required postal paperwork and submit to the Post Office.
  • Manage and perform accounting functions including: departmental chargebacks, duplicating, and mailing charges.
  • As workload requires, perform administrative mail sorting, metering, and delivery functions.
  • Assist as needed in the operation of the Student Post Office, Central Supply, and Courier/Delivery service.
  • Assist the Grounds Department with deliveries of larger items as time and manpower allow.
  • Maintain contact with Potsdam Postmaster/Syracuse Mail Center regarding postal regulations and operations.
  • Perform duplicating, copying and distribution functions for duplicating work requests. Ensure proper level of security for sensitive jobs such as tests/examinations.\
  • Perform scanning of exams using the software and equipment.
  • Sort Business Reply and Postage Due mail and perform accounting data entry function as required.
  • Assist with Custodial duties, as needed. This may include, but is not limited to sweeping, mopping, cleaning restrooms, offices, apartments and houses owned by the University, trash removal, vacuuming, dusting, assisting in moving furniture and supplies, replacing light bulbs, assisting in light grounds pick up, shoveling and sanding.
  • Learn new equipment operation as required by changes in the processes within the duplicating/mailing areas.
  • Live out and make decisions in line with the Clarkson University values in all daily activities while on duty.
  • Operate and work in a safe manner at all times and ensure the highest level of housekeeping.
  • Provide mentoring and leadership to interns, apprentices and/or student workers.
  • Willingness to take courses and/or training to meet trade specific and University standards.
  • Complete Clarkson Vehicle Safety Checklist before vehicle use. Be responsible for care, cleanliness, and maintenance of assigned vehicle and report all vehicle concerns to appropriate supervisor immediately.
  • Operate a Clarkson vehicle in accordance with University policy.
  • Perform other related duties incidental to the work described herein.
  • Deliver timely, friendly, and effective service to University faculty, staff and students.

  • Ability to gain general knowledge of the campus.
  • Participate in reporting of campus damage and/or safety issue.
