About The Position

The Donor Services Office Assistant, under the direction of the Assistant Director of Donor Services, provides essential administrative and operational support to the Office of Donor Services. This role offers students the opportunity to gain valuable work experience, develop professional skills, and contribute to the success of the department and its mission. This position will have the opportunity to work a hybrid schedule with both remote and in-person work on a weekly basis. Specific schedules are based on job functions and project workload and are determined with the supervisor.

Requirements

  • Enrolled as a full-time student for the Fall 2025-Spring 2026 term (Note: If a student is a December 2025 graduate and is in good standing, they will still be considered for work for the Fall 2025 semester).
  • Available to work Monday through Friday between the hours of 9:00 a.m. to 5:00 p.m. The exact schedule will be determined once the Donor Services Office Assistant is hired.
  • Must be in good standing with the University, which includes having no academic, financial, medical, or student conduct holds on your student account. Any staff member that receives university academic probation at Chatham University will not be eligible to continue in this role, per university guidelines and restrictions.
  • Adhere to the Chatham University Student Honor Code and Policies & Procedures outlined in the Student Handbook and Terms & Conditions of Residency throughout their term of employment.
  • All current student employees should notify their other manager(s) if you work multiple jobs on campus at the same time. Additionally, students may not work more than 20 hours per week (combined between all campus jobs) during the academic year. Students may not exceed 980 work hours per calendar year.
  • Student jobs do not automatically roll over to the next academic year or summer.

Responsibilities

  • Provide general administrative support, including filing, copying, and scanning.
  • Assist with printing, distributing, and mailing donor acknowledgment letters.
  • Provide assistance with online research requests for trustees, prospects, and donors.
  • Assist with stewardship efforts such as preparing and mailing monthly birthday cards for donors.
  • Help with reviewing, updating, and formatting files for data imports.
  • Aid in compiling, scanning, and attaching confidential historical donor and scholarship documents to shared folders and Virtuous CRM database records.
  • Assist the University Advancement department with preparing for alumni, student, and donor events.
  • Help with reviewing and updating solicitation and event invitation mailing lists.
