About The Position

The Donor Services and Grants Management Associate is a transactional position responsible for timely and accurate entry and processing of donor-advised grants, performing all necessary due diligence, and delivering high-quality customer service to all Foundation stakeholders. The successful candidate will be a motivated and detail-oriented individual playing a key role in supporting the efficient functioning of our donor service and philanthropic grantmaking operations.

Requirements

  • Bachelor's degree in a related field with minimum 3+ years of experience in philanthropy, nonprofit administration, grants administration, or a related field; or 6+ years of experience equivalent.
  • Ability to collaboratively work effectively in a fast-paced, team-oriented environment and work independently to prioritize workload and meet deadlines.
  • Knowledge of grants management and philanthropic development, including in areas of nonprofit regulations in order to identify and integrate best practices to the Fund’s grantmaking processes.
  • Experience with data entry/data management utilizing a CRM, such as Foundant.
  • Strong analytical and problem-solving skills including the ability to think critically, analyze and assess data.
  • Experience with procedures and software used in philanthropy records systems including proficiency in Microsoft Office Suite and CRMs, e.g. Foundant, Salesforce, Donor Central, etc.
  • Strong organizational skills and attention to detail with ability to manage multiple tasks, projects and competing priorities.
  • Excellent interpersonal, verbal and written communication skills for customer service and cross-departmental interactions.

Responsibilities

  • Responsible for processing and monitoring of all donor advised, recurring grants, pending grants, and related payments in collaboration with the grants payable associate.
  • Conduct due diligence to ensure accurate management and maintenance of grant-related records and files (electronic and physical) that meet IRS legal, auditing, and Foundation requirements. Ensure accurate and complete data entry in accordance with the Foundation’s policies and procedures.
  • Serve as a liaison between the finance and the donor services grants management departments to ensure effective communication regarding grants incorporated into payment processing.
  • Pull special handling reports weekly for DAF grant payments.
  • Meet with philanthropic officers to discuss weekly DAF grant deployment.
  • Responsible for understanding the steps of the grants management process and related payments processing to development process improvements for operational efficiency.
  • Assist donor services and grants manager with the projection of upcoming DAF grantmaking, generating monthly reports, as well as other related reports on grantmaking activity as needed to maintain compliance requirements.
  • Support the development, implementation and documentation of operational policies and procedures to ensure effective grantmaking processes.
  • Assist with the maintenance of Philanthropy’s overall grantmaking process and policies.
  • Enter and upload required grant-related information into Donor Portal including keeping records up to date, as needed.
  • Provide specialized expertise and exceptional customer service for Philanthropy’s grants administration and donor services including working with donors, team members, grantees and other key stakeholders to resolve issues, escalating issues and answering questions.
  • Facilitate the review of, and timely response to, unsolicited requests, which includes corresponding with philanthropic advisors on unsolicited requests and tracking request status. Classify and log unsolicited requests for Philanthropy into Donor Portal database and maintain files.
  • Support Systems & Data Analyst in generating reports on donor-specific giving trends, fund balances, grant distributions and patterns; and other data unique to the donor.
  • Maintain accurate records and ensure quality and consistency of data for individuals, households, and organizations.
  • Assist with reporting, mailing lists, data clean-up, presentations, and other communications materials for internal and external stakeholders.
  • Contribute to special projects and initiatives as assigned by the Manager, Donor Services & Grants Management.
  • Ensure fund distributions align with donor intent and IRS regulations.
  • Monitor grant compliance and restrictions to prevent issues.
  • Assist in investment performance tracking for donor-advised funds.
  • Support tax documentation and end-of-year donor reporting needs (i.e. gift acknowledgement).
  • Other duties as assigned.
