About The Position

Under limited direction, this position provides management and operational support for college grants from award to close-out, to include federal, state, local, and private awards that advance the College’s mission and priorities. Ensures that grant awards are implemented in accordance with the approved grant proposal and budget and are adhering to all relevant government, College, and program-specific regulations and requirements. Employees in this position are expected to utilize a high level of organizational, communication and critical thinking skills in addition to independent judgment in making decisions within the realm of their responsibilities. The incumbent serves as a liaison between grant project managers, College administrative units, external partners, and grantor/agency officers regarding interpretation of and adherence to regulations and requirements, the performance and fiscal management of grant projects, and desk reviews and audits.

Requirements

  • Bachelor's Degree; Master’s degree preferred. An equivalent combination of experience and education may be considered.
  • Six years of relevant grant-related experience.
  • Demonstrated ability to simultaneously manage multiple projects, develop and modify budgets, and resolve issues related to project implementation, while staying informed about and adhering to internal and external policies and procedures.
  • Experience in working collaboratively with various groups including senior administrators, staff, faculty, federal and state officials, and community stakeholders.

Responsibilities

  • Working closely with 30-50 grant project managers, coordinates and provides post-award services, from the receipt of a grant until grant close-out, to enhance the efficiency of grant management.
  • Develops and maintains a thorough understanding of a wide variety of grant proposals and budgets, agency and program guidance documents, state and federal regulations, and College policies and procedures, to facilitate compliance of grant projects and reduce potential risks to the College.
  • Monitors performance periods of grants, reporting deadlines, deadlines for submission of budgets and other materials required for grant continuation, and close out deadlines. Assists project managers with meeting deadlines.
  • Creates and maintains spread sheets for the purposes of collecting and organizing grant project data. Collaborates on creating systems for tracking grant project participants and verifying participants’ eligibility. Prepares data visualizations and other reports for project managers’ supervisors, senior administrators, and other staff as needed.
  • Schedules and conducts meetings with grant project managers individually, accounting staff members, and other administrative staff to review grant operations and performance and ensure legal and ethical grant implementation. Documents meetings with project managers and maintains organized files containing the documentation. Meets with grant project external partners and grantor/agency officers as needed to support effective communication and collaboration with College faculty and staff. Develops and implements protocols for addressing grant management concerns.
  • Develops and maintains a comprehensive grant management guide for grant project managers. Schedules and conducts kick-off meetings with new project managers as new grants are awarded, to introduce the guide and collaborate on the development of an implementation plan. Develops and provides other resources to support project managers, such as grant management training sessions.
  • In collaboration with grant project managers and accounting staff, tracks and prepares reports on the expenditure of grant funds and spend rates for each grant. Addresses discrepancies and concerns with project managers and other staff as needed.
  • Supports deans and other supervisors with staffing grant projects in line with the approved grant budget, for example, by serving on search committees for full-time grant-funded staff and providing guidance on supplemental compensation for faculty and staff.
  • Participates in webinars and conference calls organized by grantors/agencies, the Florida Council for Resource Development, and professional development organizations. Assists Grant Development Officers with assessing grant opportunities and reviewing proposals to assess feasibility.
