About The Position

Join us as a Document Management Technician, where you will play a critical role in preparing, organizing, scanning, and maintaining medical and company documentation. This position supports internal operations by ensuring records are accurate, complete, properly stored, and handled in compliance with HIPAA regulations and company standards. The Document Management Technician is responsible for gathering, printing, preparing, scanning, processing, and maintaining examinee charts, medical reports, and company documents. This role performs a variety of clerical and administrative tasks while ensuring confidentiality, quality, and timely completion of work. Hours: Monday - Friday 8am-5pm Location: Fully Remote

Requirements

  • High school diploma or equivalent required.
  • Minimum of one (1) year of related experience, or an equivalent combination of education and experience.
  • Knowledge of general office equipment including computers, fax machines, copiers, scanners, and telephones.
  • Proficiency in multiple software programs, including Microsoft Word, Outlook, Excel, and Internet‑based systems.
  • Full understanding of HIPAA regulations and compliance requirements.
  • Ability to follow instructions and accurately carry out management direction.
  • Demonstrated accuracy, attention to detail, and commitment to quality.
  • Ability to monitor own work and identify opportunities for improvement.
  • Strong communication skills, including the ability to convey information clearly, listen effectively, and seek clarification when needed.
  • Ability to work independently, prioritize tasks, and manage time efficiently.

Responsibilities

  • Prepare, print, sort, scan, process, and maintain electronic and/or hard‑copy charts, medical report forms, and company documents.
  • Gather and organize examinee charts for examinations and/or deposition purposes.
  • Finalize completed charts by confirming all required records are included, consolidated in the proper order, and free of duplicates or unnecessary documents.
  • Prepare and ship records to physicians using appropriate mailing methods, including USPS, UPS, or electronic delivery, in accordance with client instructions and required timelines.
  • Perform clerical duties such as typing, filing, emailing, proofreading, and data entry as required.
  • Sort records, create cover letters, update client lists, and maintain efficient document storage systems.
  • Perform mail‑related duties as assigned.
  • Promote effective and efficient use of company supplies and resources.
  • Protect examinee rights by maintaining strict confidentiality of personal and financial information in compliance with HIPAA regulations.
  • Work independently while meeting strict deadlines and productivity expectations.
  • Perform other duties as assigned.
