About The Position

The Document Management System (DMS) Manager is responsible for the administration, configuration, maintenance, and optimization of the organization’s document management system. This role ensures documents are securely stored, accurately revision controlled, and easily accessible while supporting operational efficiency, regulatory compliance, and project execution. The DMS Manager will work closely with engineering, operations, IT, and project teams to support document lifecycle management across the organization.

Requirements

  • Minimum of 10 years’ experience administering or supporting a Document Management System or similar enterprise application.
  • Strong understanding of document control, records management, and information governance principles.
  • Experience managing user roles, permissions, workflows, and metadata structures.
  • Experience with enterprise DMS platforms such as ProjectWise, Vault, Meridian, M-Files, or similar systems.
  • Demonstrated experience supporting internal customers across multiple departments.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication and interpersonal skills, with the ability to work effectively with technical and non-technical users.
  • Ability to work independently, manage multiple priorities, and operate effectively in a dynamic project-driven environment.

Nice To Haves

  • Bachelor’s degree in Information Systems, Computer Science, Business Administration, or a related field (or equivalent experience) is preferred.
  • Experience in engineering, construction, utilities, or other regulated industries.
  • Familiarity with system integrations, data migrations, and reporting tools.
  • Knowledge of records retention schedules, audit processes, and compliance frameworks.

Responsibilities

  • Administer and maintain the organization’s Document Management System, including configuration, upgrades, integrations, and performance monitoring/auditing.
  • Create and Manage document control standards, including naming conventions, metadata, version control, retention schedules, and approval workflows.
  • Ensure compliance with internal policies, regulatory requirements, and audit standards related to document and records management.
  • Provide system support to users, including troubleshooting issues, managing access permissions, and resolving data integrity concerns.
  • Coordinate document migrations, system enhancements, and adoption initiatives in collaboration with IT and business stakeholders.
  • Develop and maintain system documentation, standard operating procedures (SOPs), and user training materials.
  • Train users on DMS functionality, best practices, and document governance requirements.
  • Generate reports and metrics related to system usage, document status, and compliance.
  • Support audits, reviews, and inspections by providing required documentation and system access.
  • Manage selection, training, coaching of direct reports.
  • Assign tasks to document controllers based on project needs
  • Work collaboratively with designers and project teams to develop solutions and modifications as needed.
  • Bring potential project-related problems and possible solutions to the attention of the responsible party.
  • Take personal responsibility for the quality, accuracy, and integrity of system configuration and managed content.
