About The Position

Under the supervision of the Supervisor-Eligibility & Financial Redetermination, the Document Management Specialist is responsible for opening all Medicaid mail, correspondence and documents received; logging it on tracking log and ensuring mail is distributed to the applicable Eligibility and Financial Representative. Collection of all Medicaid Correspondence, documents and mail. Utilizing tracking system and data systems, all correspondence is distributed thru the Document Management Specialist. The Document Management Specialist will scan, batch, track, index, log, and direct the Medicaid correspondence to the correct data system, correct participant and correct Medicaid representative and/or forward the mail as necessary. The Document Management Specialist must have an attention to detail and work within time constraints in order to direct mail within the required time frame. Research and locate any misdirected correspondence, notifying and forwarding such documents to appropriate locations and determining any necessary follow up action. Develops quality control measures, including tracking systems, protocols and procedures. Daily tracking, quarterly tracking, ROC noting, document retention policies, and Quality Control Guidelines are systems that the Document Management Specialist will update and revise on an as needed and/or ongoing basis. Completes supportive housing forms for Eligibility and Financial Representatives on an as needed basis. Provide back up and support to Eligibility and Financial Representatives on an as needed basis. Keep current with scheduled tasks to plan for any absences. Work effectively and independently with the IT team and the Office Services Coordinator Administrative Assistant, troubleshoot and communicate effectively any issues and difficulties that arise. Requirements

  • High School diploma or GED
  • Requires a valid state issued driver’s license, personal transportation, good driving record and auto insurance as required by law.
  • Current knowledge of the Medicaid system/benefits in addition to community resources that are available to seniors and their families.
  • A minimum of one year working with the frail or elderly is required.
