Position Overview The Document Management Specialist plays an essential role in processing, organizing, and imaging loan‑related documents within the company’s Electronic Document Management System. This position requires strong attention to detail, accurate data entry skills, and the ability to work efficiently in a structured, fast‑paced office setting. The team is open to entry‑level candidates, especially those with backgrounds in customer service, retail, administrative support, or office operations. If you are tech‑savvy, comfortable learning new systems, and attentive to detail, you will excel in this role.

Requirements

  • High School Diploma required.
  • Open to entry‑level candidates who demonstrate strong learning aptitude.
  • 1–3 years of experience in office administration, mailroom work, customer service, or retail preferred.
  • Strong data entry accuracy and attention to detail.
  • Proficiency with Microsoft Word and Excel; comfort with learning new systems is essential.
  • Ability to work independently and follow structured processes.

Nice To Haves

  • Experience with mortgage or financial documentation is helpful but not required.

Responsibilities

  • Sort, open, and organize incoming mail containing customer or loan documentation.
  • Review documents for completeness and accuracy before imaging.
  • Scan physical paperwork into the electronic imaging system and process it for automated indexing.
  • Ensure that documents are categorized correctly and routed to the appropriate internal teams.
  • Update internal systems with accurate document information.
  • Prepare documents for outbound shipping when needed.
  • File, organize, and maintain stored or archived records in accordance with internal guidelines.
  • Assist with documentation tracking, reporting, and special projects as assigned.
  • Maintain reliable and punctual attendance.
  • Support mailroom functions and general office tasks as directed.
  • Work collaboratively with internal teams to ensure all documentation is accurate, complete, and accessible.
